Pay Salaries (Salary Banding)

What are Pay Salaries?

Let's say your organisation has a defined pay structure set against a clearly defined grade structure (similar to the NHS). Within each grade, the successful candidate can be offered one of a number of different salary options, ultimately falling within the confines of the grade for that role.

Within Eploy, we call these Pay Salaries, and this feature allows you to implement such a policy. Each individual grade is represented as an individual Pay Salary, with the various salary options available as Bands, or Spine Points.

Pay Salaries are set against the Vacancy, with the Band (spine point) defined against the Hire (Offer).


Create/Edit a Pay Salary

To view or Edit your Pay Salaries, navigate to Admin > Salary Settings > Pay Salaries.

Having accessed the Pay Salaries screen, you can edit an existing Salary by clicking its name, or you can create a new one by clicking New from the toolbar.

Details

When creating a new item, the first step is to give the salary a name, which will be visible in Vacancies, Vacancy Templates and Job Roles. As the title will be used to allocate the correct salary to the role, the title should be clear and concise to avoid errors.

Following the title, you can begin to configure the Salary details, which control how the salary is used and displayed:

  • Job Roles - if Job Roles are in use within your system, this option allows you to link the Pay Salary with all relevant Job Roles. The link can also be added within the Job Role itself.

  • Allow edit Vacancy Salary - When this salary is selected on a role, this setting determines whether the hiring manager can edit the range dictated by the salary.

  • Allow edit Hire Salary - As above, when this salary is used, this setting specifies whether hiring managers can edit the salary at the offer stage.

  • Rate Currency - If you work internationally, you can use this setting for different currencies.
    ​

  • Salary From / To - This is the salary range for this step in the scale.

  • Advertising Salary - As the Salary From/To fields are not normally displayed to Candidates, use this field to display candidate friendly salary information as part of your job advert.

  • Interval - The pay period (yearly, daily, hourly) of the pay salary.

  • Allow edit Vacancy / Hire Hours Per Week - As well as being able to restrict how hiring managers edit the salary, you can use this setting to prevent them from editing the associated hours per week.

  • Hours Per Week - The specified hours per week for the pay salary.
    ​

  • Working Hours - If this pay salary comes with a dedicated shift pattern, you can set it here.

Vacancy Filter

Having outlined the specifics of the pay salary, you can also specify in what circumstances it can be used. By using the Vacancy Filter, you can specify which Organisation Records, Industries, Positions, Business Areas and Locations should be associated with this Pay Salary. For example, if you need to apply London Weighting to a salary, the Location filter can be applied to ensure that this salary can only be used on Vacancies within London.

If no filters have been applied, the Pay Salary will be available for all Vacancies.

πŸ“Œ Note - As field names are customisable within Eploy, fields such as Industry, Position and Business Area may have a different name in your system. If you're unsure, please contact the Support Team for assistance.

Salary Bands

If configuring a new pay salary, click Save at this point to give access to the salary bands.

The Bands, or Spine Points, allow you to specify the precise salaries your Hiring Managers can offer, based on the Pay Salary assigned to the Vacancy.

Click Add, or click into the title of an existing band, to configure the spine points:

  • Title - This is the name of the specific point within the salary band and needs to be relevant to the hiring manager. Spine points normally refer to levels within grades or specific points. I.e. if the salary is a level three, the spines tend to be 3.1, 3.2, 3.3 etc.

  • Salary - The specific salary that sits against this band. Remember, this should sit within the original pay salary range.

  • Interval - This is the pay period of the band and includes hourly, daily or annually.

  • Hours per Week - The number of hours associated with the specific band.

Repeat this process for each band and once complete, your pay salaries will be ready to use.

πŸ“Œ Note - If using Pay Salaries for the first time, your system may require some additional configuration to allow them to be set on a vacancy, copy through to the Hiring Manager portal and then link to the offer requisition process. You may also want to factor them into your authorisation processes, so please contact Eploy Success, or your Implementation Manager, and we can talk through the necessary steps.
