Post-Event Power Moves: Export Lists, Check Reports, and Archive Events

Updated today

Once your event is over, it’s tempting to move on, but a few quick actions in Evey can help you follow up properly, understand attendance, and keep your dashboard organized.

This guide covers three essential post-event steps:

  • Exporting attendee lists

  • Extracting check-in reports

  • Archiving or duplicating events

Each step takes only a few clicks and sets you up for smoother future events.

1. Export Your Attendee List

Your attendee list contains everything you need for post-event follow-up and reporting.

Why it matters:

  • Send thank-you emails, offers, or surveys

  • Separate attendees from no-shows

  • Import data into tools like Klaviyo or Mailchimp

  • Review ticket sales and fulfillment details

How to export attendees

  1. Open your event in the Evey dashboard.

  2. Click on Attendees.

  3. Click More Filters and apply any filters you need (e.g., Ticket Type, Ticket Schedule). Don't forget to click Done.

  4. Select all attendees by checking the box at the top, and then select the remaining attendees.

  5. Click ActionsExport attendees.

  6. Enter the email address where the export should be sent, then click Export attendees.

  7. Download the CSV file containing attendee and custom field data from the email.

2. Extract a Check-In Report

Check-in data tells you who actually attended your event, not just who bought a ticket.

Why it matters:

  • Measure attendance vs tickets sold

  • Identify no-shows

  • Follow up differently with attendees vs non-attendees

  • Validate attendance for reporting or internal tracking

How to extract a check-in report

  1. Open your event and navigate to the Attendees page.

  2. Click More Filters.

  3. Set Check-In status to Checked-in so only attendees who showed up are displayed. Click Done.

  4. Once the list updates, select all the attendees.

  5. Click Actions, then Export attendees to download the check-in report.

  6. Enter the email address where the export should be sent, then click Export attendees.

  7. Download the CSV file containing your exported file; this will include only checked-in attendees. If ticket scanning was used, timestamps will be included.

3. Archive or Duplicate Your Event

Once reporting and exports are done, clean up your event list, or reuse what worked.

Why it matters:

  • Keeps your active events list clean

  • Prevents accidental edits to completed events

  • Saves time by reusing successful setups

How to archive or duplicate events

⚠️ Important Note: Once an event is archived, it cannot be unarchived.

To archive an event:

  1. Go to your Events list in the Evey dashboard.

  2. Select the event (or events) you want to archive.

  3. Click Actions at the top of the list.

  4. Select Archive events to remove the event from your active view while keeping all data saved.

To duplicate an event:

  1. Open the event you want to duplicate.

  2. Go to Event settings, then stay on the Event tab.

  3. Scroll to the bottom of the page and click Copy event.

  4. Enter a name for the duplicated event.

  5. Choose whether to create the new event as a draft product (leave unchecked to publish immediately).

  6. Save to create the duplicated event with all settings copied over.

These post-event steps take only minutes, but they help you:

  • Launch your next event faster

  • Communicate more effectively with attendees

  • Keep reporting accurate and organized

  • Avoid rebuilding events from scratch

Don’t just close out your event, use it to improve the next one.
