You are an artisan in our community, and your next workshop hasn't reached the minimum participant requirement.
You can either uphold or cancel the workshop. It is up to the artisan to make the decision. Just let us know by email at artisans@wecandoo.com, and the team will make the necessary arrangements. 💁♀️
Otherwise, Wecandoo will send you an email to find out if you wish to uphold or cancel this workshop. No cancellations will be automatic for now for the following reasons:
some artisans have live bookings, which are not registered on our site (we strongly encourage you to register them to avoid cancellations or overbooking)
some artisans have arrangements with their participants (e.g. customers coming from far away)
some artisans want to keep their workshops under the minimum capacity for their own personal reasons (financial reasons, waste of raw materials, etc.)
You only need to reply to this email to either uphold or cancel the workshop in question.
It is not yet possible to inform us via your artisan account that you're maintaining the workshop... but we hope it will be very soon! ⏳
You can send an email to artisans@wecandoo.com at any time to let us know if there is a workshop that has not fulfilled minimum participant requirements. You don't have to wait to receive this email to let us know (and we love it when you don't wait!) 😇.
If you don't answer the email
If you don't respond within the allotted time, the workshop will be cancelled.
We cannot oblige you to uphold a workshop that hasn't reached the minimum number of participants, so if we don't have any news from you, the workshop will be cancelled.
Customers will receive a text message and an email inviting them to choose another date in your calendar. We can't suggest a specific date.
If you wish to gather clients from different dates, we ask you to contact the clients directly and inform us of the changes to be made.
The Wecandoo reminder e-mail really is a last resort. If you receive this, you must respond the same day before 4pm.
If you don't think you can check your emails in time, you should know that the Wecandoo reminder email is the last alert.
You can check your Wecandoo calendar and then get back to us at artisans@wecandoo.com to let us know if the workshop will be upheld or not.
There is no need to wait for our reminder email if you check your calendar in advance.
Our cancellation policy
We process cancellations approximately 4 days ahead of the workshop. We insist on respecting this deadline because customers are also obliged to inform us at least 4 days before the workshop if they cannot come (except in cases of health issues, positive COVID-19 test, etc.). Therefore, we have to inform the customer in advance if their workshop is cancelled.
Some customers come from far away, others come in groups... it's a two-way street. We want to respect this time frame as much as possible.
Here are some tips for filling up your workshops:
If you're just starting out with us, don't set up too many slots if your minimum participant number is high! Doing this will spread out the participants, so it's best to start slowly with one workshop per month, then two, then three, and so on. The participants will thus naturally group together.
Not sure which weekly slots to offer? Anything is possible! Keep in mind that 85% of our reservations are made for evenings and weekends. You can also test a slot for a few weeks, and if it doesn't work, scrap it.
Ask each participant to leave a review at the end of the workshop; a comment increases visibility on our site, and in turn the workshop sells better (customers consider reviews to be really important!)
When you're starting out, if it's possible for you, accepting bookings below the minimum participant requirement can give you a real boost.
