Finding your balance by playing the game of sliding availability, staying one step ahead of customer demand while keeping an eye on the statistics - that's the recipe for a good calendar that maximises the chances of filling and minimises the frustration!

So there's no magic formula, but we'll give you our best advice anyway: with our expertise and your knowledge of your own indicators, you'll put all the odds on your side.

👓 Understanding my personal indicators

The indicators on your dashboard (artisan back-office) are constantly changing and give you a good overview of the 'health check' of your workshops and help you to assess whether your organisation is sufficient: here is the full guide to help you understand and analyse them correctly.

The capacity of your workshops will play an important role in the construction of your schedule: if you have a high minimum capacity, you need to avoid spreading customers across too many slots, leading to cancellations. An effective way of remembering this is to match the frequency of your workshops to your break-even point:

Minimum capacity of X participants = one slot every X weeks

  • Need 2 participants? No more than one workshop every 2 weeks.

  • Need 4 participants? No more than one workshop every 4 weeks.

    Of course, as your workshop becomes better known, you can review this frequency to increase the pace if you wish.

🙋 Understand customer behaviour

Customers prefer evenings (from 6pm) during the week and weekends: 52% of bookings are made at the weekend. These are the areas to focus on when placing slots. If you find slots that work better than others, we invite you to keep them.

Workshops with future availability are 3 times more likely to convert a potential gift card buyer. So it's important to have rolling availability: don't wait until the last moment to add new slots.

On average, customers book their workshops 50 days in advance. Sometimes they even take advantage of a business or personal trip (holiday). We therefore advise you to build your calendar on average 3 months in advance, without forgetting the famous sliding availability! Don't wait until the last minute to add new slots.
