Content Library

The Content Library is an LMS+ feature that allows organisations to upload, store, and assign their own learning materials directly within the LMS. It enables you to deliver customised training alongside Alison courses and track how learners interact with internally created content.

Only Super Admins and Admins with the required permissions can upload and manage content. Group Managers cannot upload new files but may assign existing content.

How to upload Content

All content must be uploaded through the Content Library section in the LMS Manager Dashboard.

Before uploading, you must select the file type you want to add.

Supported formats include:

  • Video files

  • PDF documents

  • PowerPoint presentations

Other formats are not currently supported. If you require additional formats, please contact LMS+ Support.

After selecting the upload type, complete all required fields in the upload form.

Once completed, the Save option will become active. You can then:

  • Save it for later assignment by Admins or Group Managers, or

  • Assign the content immediately

Learners cannot access any uploaded content unless it has been explicitly assigned to them. Once assigned, they will receive a notification and the file will appear in the Additional Assignments section of their dashboard, separate from courses and Learning Paths.

Depending on the file type, learners can view or download the content directly from their dashboard.

Embedded videos

Embedded videos do not count toward your storage limit.

To add an embedded video, select Upload Video and choose the Embed via URL option, then paste the video link.

You can use platforms such as YouTube or Vimeo, provided the video is correctly configured for embedding.

YouTube videos (important setup)

To ensure YouTube videos work correctly inside the LMS, they must be configured as follows:

Step 1: Upload your video to YouTube

  • Sign in to YouTube

  • Click Create → Upload video

  • Upload your content

Step 2: Set visibility to Unlisted

This ensures:

  • The video is not searchable on YouTube

  • It is not publicly visible on your channel

  • No Google account is required for learners

  • It can still be embedded in Alison LMS

Do not use:

  • Private (will break LMS access)

  • Public (exposes content externally)

Important:

  • Do not change visibility after adding it to the LMS

  • Do not delete or replace the video without updating the LMS link

  • Any changes may break playback in the LMS

Even when set to Unlisted, anyone with the link can access the video. This is a YouTube limitation, not an LMS limitation.

Vimeo videos (recommended for secure embedding)

Vimeo allows more controlled embedding compared to YouTube.

To configure Vimeo correctly:

Step 1: Upload your video to Vimeo

  • Sign in to Vimeo

  • Click New Video → Upload

  • Upload your content

Step 2: Set embedding restrictions

  • Go to video Settings

  • Open Privacy settings

  • Find “Where can this be embedded?”

  • Select: Only on sites I choose

  • Add the following domains:

This ensures the video can only be played inside Alison LMS.

Step 3 (recommended): Additional privacy settings

  • Private video mode

  • Password protection

  • Login-required access (if available)

These options provide additional content protection and access control.

Product limitations

The Content Library is designed for learning materials only and does not currently support creating assessments. If you require internal assessments or structured evaluation, please contact your LMS Support Manager to discuss available options.

Content Library items are also separate from Learning Paths and cannot currently be included inside them. This functionality may be introduced in future updates.

Storage usage

Storage limits depend on your LMS+ subscription plan:

  • Starter: 500 MB

  • Growth: 3 GB

  • Enterprise: 5 GB

There is no fixed limit per individual file, as long as your total usage remains within your plan allowance.

You can monitor storage usage in the Content Library dashboard widget, which provides a breakdown by file type.

If you exceed your storage limit:

  • You will not be able to upload new files

  • You will be prompted to delete content or upgrade your plan

If you downgrade to a lower plan:

  • You will be asked to reduce stored files to meet the new limit

  • If you do not, the system may automatically remove the largest files first

  • Deleted files cannot be restored

How to Delete content

To delete a file:

  • Click the three-dot menu next to the file

  • Select Delete File

Important:

  • Deleted files cannot be recovered

  • Learners immediately lose access

  • Any progress or completion data is permanently removed

  • The file must be uploaded again if needed in the future
