Adding Sponsored Employees to a Team Member

Sponsored employees are clients specifically assigned to you or a team member within your organization. This feature helps manage workflows by allowing team members to focus on specific client groups, limiting their access to only the information necessary for their tasks within the FastVisa (FV) Portal.

By assigning clients as sponsored employees, you can streamline task management for team members who need a narrowed view of client cases.

Types of Sponsored Employee Assignments

There are two primary ways to assign clients as sponsored employees: Manual Entry and Auto Assign. Each method offers flexibility for different organizational needs.


1. Manual Entry

You can assign sponsored employees either per person or by business unit and department.

  • Per Person: Click + Add Sponsored Employee, then search for the client by name. Search results will display additional details, such as date of birth, business unit, and department.

  • Per Business Unit and Department: Add an entire business unit with specific departments as sponsored employees. Only active clients will be added—archived clients are excluded.

Note:

  • When clients in these assigned groups are deleted or archived, they are also removed from your sponsored employees list.

  • All clients added through manual entry will be tagged as “Manual Entry.”


2. Auto Assign

This feature allows for broader assignments based on specific criteria:

  • All Clients: Automatically assigns all clients, including archived ones, to the team member. Newly added clients will also be automatically assigned.

  • Based on Management Area: Assigns all clients with a specific management area or all management areas. New clients added within the specified management area(s) will be automatically included as sponsored employees.

  • Based on Business Unit and Department: Assigns clients by business unit, either all units or specific ones. Any newly added clients within the selected business unit(s) will be assigned as sponsored employees.

  • Reference Another Team Member’s Sponsored Employees: Automatically assigns all clients currently assigned to another team member. New clients added to that team member’s sponsored employees list will also be automatically assigned to you.

Note:

  • When clients in these assigned groups are deleted or archived, they are also removed from your sponsored employees list.

  • All clients added through auto-assign will be tagged as “Auto-assign”


Combining Assignments and Updating Auto Assign

You can combine both Auto Assign and Manual Entry methods to customize your sponsored employee list further.

Additionally, you can update your auto-assign settings or disable auto-assign if needed. When auto-assign is disabled, all auto-assigned clients will be removed from your sponsored employees list.

Access in FV Portal

With all sponsored employees added, you and your team members can focus on relevant cases directly from the FV Portal, enhancing workflow and task management.
