How to Invite Institution Admin?

Inviting an Institution Admin to FastVisa involves a few steps to ensure proper seat allocation and successful activation. An Institution Admin is a high-level role with significant authorization, and it's important to manage seats and invitations effectively.

How to Invite Institution Admin

Check Seat Availability

Before inviting an Institution Admin, you need to make sure there are available seats within each organization in the institution. Inviting an Institution Admin will consume 1 seat from each organization.

For example, if you have organizations A, B, and C, and their seat counts are A (2), B (1), and C (3), inviting an Institution Admin will change the counts to A (1), B (0), and C (2).

Release Seats if Needed

If there are insufficient seats in any organization, you can free up seats by deactivating member accounts that are no longer needed.

Inviting an Institution Admin

  • Click the "+ New Institution Admin" option.

  • Input the First Name, Last Name, and Email Address of the intended Institution Admin.

  • Click the "Send Invitation" button to initiate the invitation.

Activation by Institution Admin

  • The invitation will be sent to the provided email address.

  • The invited Institution Admin needs to activate their account by clicking the activation link in the email.

  • Upon activation, their account status will change to "Active," and they will gain the Institution Admin privileges.

Changing Roles

Promoting to Institution Admin

You can change a team member's role to Institution Admin by selecting the team member, clicking the "More Options" icon, and choosing "Change to Institution Admin."

Demoting to Team Member

Similarly, you can change an Institution Admin's role back to a team member by selecting the admin, clicking the "More Options" icon, and selecting "Change to Team Member."

Inviting an Institution Admin requires careful consideration of available seats and proper activation steps. It's essential to ensure that each organization has the required seats before sending out invitations. This process helps maintain the right balance of access and permissions within the institution.
