Set up emails and text messages that send automatically when an event happens

Summary

Automated Messages send an email or text to your customer when something specific happens in Fieldwork β€” like an estimate being sent. The system sends the message for you so you don't have to remember to follow up.

  1. From the top of the Navigation Menu, click Settings (gear icon).

2. From the Settings Menu, click Automated Messages.

3. Once you are on the Automations page, In the upper right corner of your screen, click the grey New Automation Button


Name

Give the message a name that describes what it does, like "Estimate Follow-Up." Only you and your staff see this name.

Event

Pick the event that triggers the message. There are two options:

  • Pending Estimate - The message sends when an estimate has been sent to a customer but they haven't accepted or declined it yet.

  • Pending Agreement - The message sends when an agreement has been sent to a customer but they haven't signed it yet.

Step 1 - Run After

Set how long after the event the message sends. For example, 3 days after an estimate is sent.

Run at

Pick the time of day the message sends. For example, 9:00 AM.


E-mail

Important note: Leave this blank if you only want to send a text.

Subject

The subject line of the email. Example: {company_name} - Your estimate is ready.

Message

The body of the email.

  • Placeholders - click to place the placeholder in your message from the sidebar


SMS

Important note: Leave this blank if you only want to send an email.

Important note: Text messages cost $0.03 per segment plus $5.00 per month for the phone number. One segment is 160 characters.

SMS Message

Include the customer's first name, what the message is about, and a link or phone number.


Placeholders (click to insert)

Click a placeholder to insert it where your cursor is.

  • {first_name} - Customer's first name

  • {last_name} - Customer's last name

  • {customer_name} - Full customer name

  • {account_number} - Customer's account number

  • {invoice_email} - Email used for invoicing

  • {company_name} - Your company name

  • {branch} - Your branch

  • {company_phone} - Your company phone number

  • {company_email} - Your company email

  • {estimate_number} - The estimate number

  • {link_to_estimate} - A clickable link to view the estimate

  • {link_to_estimate}YOUR TEXT{/link_to_estimate} - Turns your own text into the clickable link. Replace YOUR TEXT with what you want it to say.

  • {button url='http://www.google.com' color='#66CD00'}BUTTON TEXT{/button} - Inserts a clickable button. Replace the URL, button text, and color (hex code) as needed.


Click the green Save button to finalize your changes and turn the message on.
