RUC Off-Road Report

How to use the RUC Off-Road report to verify and claim off-road mileage as part of a RUCOR claim.

The Fleetpin RUC Off-Road report allows you to prepare the necessary information required to complete a NZTA RUCOR claim form. You can find the RUC Off-Road Report going to Reports > RUC Off-Road Report.

How It Works

As Fleetpin records your vehicle activity, it uses a range of algorithms to determine if the activity is on a public road. When it detects off-road activity, it keeps track of this and records it in the RUC Off-Road Report.

The off-road algorithms Fleetpin use are very accurate, but data for the New Zealand road network changes, has omissions, and often mistakes. For these reasons, it's necessary to verify the automatically detected off-road activity.

Before You Begin

In order for Fleetpin to track your vehicle's offroad mileage, it just needs to have the RUC license details entered. You can do this by going to Admin > Assets, then select the asset, and go to the RUC section. Fleetpin will begin tracking off-road mileage for this license from the time it has been entered.

RUC Off-Road Summary

The summary report lists out details for the RUC licenses and associated assets. These are presented 3 different tables in the following tabs:

  • Current: These are current licences still being used. You can verify trips and claim a refund once the licence has expired.

  • To be verified: These are licenses that require user verification that the off road trips of the completed licences are in compliance with NZTA policies.

  • Verified: These are licenses that a user has marked as verified. This means that all off-road activity has been checked and confirmed as verified by a user. These licenses are ready to be submitted as part of a RUCOR claim.

    Verified licenses should only be marked as claimed after a successful claim has been accepted by NZTA.

  • Claimed: These are licenses that have been successfully claimed.

Preparing to Submit a RUCOR Claim to NZTA

  • All licenses listed in the 'To be verified' and 'Verified' tables are eligible for claiming.

  • Licences in To be verified must be verified before they can be marked as claimed.

  • Current licences are not eligible for claiming until they expire.

Verifying Off Road Activities

It's important that all off-road activity is manually checked before submitting a claim. To begin the verification, click on Verify Trips for each license listed in the To be verified table.

Even though a license may have many hundreds of off-road activities, verification can be done in minutes by using the map to zoom in to clusters of off-road activities. Here's how:

  1. Starting at the top of the map, click on the first cluster of activity (bright pink lines on the map). This will zoom the map in to show all the pink trip lines.

  2. Visually scan over each line in the cluster and look for the following:

    1. Trips that are on public roads or very close to public roads.

    2. Trips that are running parallel or alongside public roads. This may indicate inaccurate GPS or road network data.

  3. Remove any trips that are or are likely to be on a public road. To do this, click on the trip line and click 'Remove'.

  4. Once you've finished verifying the cluster, click on any pink trip line and click 'Confirm'. The line will turn green. Click on this green line to zoom the map back out.

  5. Click into the next cluster down (moving North to South) and repeat this process for each remaining cluster.

Once you've checked all of the clusters on the map, you're now ready to click the green Mark As Verified.
