This document provides an overview of how to utilize the AI Assistant for managing preventive maintenance (PM) schedules effectively.

Creating a PM Schedule

  1. Access the PM Schedule Screen: Navigate to the Preventive Maintenance Schedule screen.

  2. Enable AI Assistant: Ensure the AI Assistant is enabled to access new options.

  3. Create a Schedule:

    • Use the drop-down to select one of the following methods:

      • Speak to Create: For example, say "Create a PM schedule for a 3.5-ton HVAC unit for summer."

      • Type to Create: Enter the details manually.

      • Take a Picture to Create: Use a photo of the equipment to initiate the creation.

  4. Confirm Equipment: The AI Assistant will search for relevant equipment (e.g., HVAC units) and present options.

  5. Select Equipment: Choose the equipment for which you want to create the PM schedule.

  6. Confirm Creation: Click "Confirm All" to generate a generic PM schedule with associated tasks.

Enriching an Existing PM Schedule

  1. Access Existing PM Schedules: Open any already created PM schedule.

  2. Enhance Tasks: Use the drop-down options to enrich the PM schedule by adding more detailed tasks.

  3. Update Methods: Similar to creating a schedule, you can:

    • Speak to Update: Provide verbal instructions for updates.

    • Type to Update: Manually input changes.

    • Upload a Picture: Use an image to assist in updating the schedule.

Generating PM Schedules for Specific Equipment

  1. Select Specific Equipment: Navigate to the desired HVAC unit or piece of equipment.

  2. Generate PM Schedule:

    • Click the "Generate a PM Schedule" button.

    • The AI Assistant will automatically populate the schedule with relevant information and suggested tasks based on the equipment's details.

  3. Attach Equipment: The generated PM schedule will be linked to the selected piece of equipment.

  4. Set Frequency: Specify how often the maintenance should occur (e.g., monthly, quarterly, annually).

  5. Confirm Creation: Click "Confirm All" to finalize the PM schedule for the equipment.
