1. If you plan on making asset reservations available to requesters its often best to plan ahead, decide which assets are reservable and which ones are not.
To make the set up and reserving of assets more manageable its recommended but NOT required to have all your reservable assets hosted in one location. You can also tag all your assets with a shared category.
For this example we will set up a reservation request form for a fleet of vehicles.
2. To get started head over to "Global Settings"
You must be a system Admin to set this up, please reach out to your system admin if you do not have access.
3. Click "Asset Reservations"
4. Create a calendar.
If you created one before but didnt finish the set up you can select it and keep working on it as well.
5. In the first section review your access settings.
My calendar is active, reservations are visible to anyone who can view the calendar (vs. internal-only).
6. Next you can set up approvers for your reservations.
For a single approver you can select a "default owner" for several levels of approvals select area owners and choose your location at which the equipment is at in the system.
7. Click "Edit Visible locations" and select the location(s) that the assets are located at that you would like to have visible on the request form to choose from.
Keep in mind all your assets can be reserved, this simply limits what requesters can choose from.
Individuals that have access to FlowPath can reserve other equipment if they have access to the equipment module.
**If you are unsure reach out to your friendly FlowPath CSM
8. For this tutorial I will select "Motor Pool- Transportation - Reservation Vehicles" because I only want my requesters to choose from these assets when making a request.
9. Click "Save"
10. Next, you can disable filter fields your requesters won't need.
For example, if you only have one visible location, the location filter isn't useful.
You can also disable fields such as address or organization name if this is not information you plan on collecting during the requesting process.
Experiment and test out several options, don't forget you can always update this at anytime.
Click on "view" to preview your request form set up
11. Below is a sample of your request form preview. Here you can see what it looks like after disabling fields.
12. Much like our Events Module you can create a extensive request form with custom questions and dependencies or keep it simple.
**You can update any section of this form even after you have given access to your request form to your requesters. So don't be afraid to gather feedback after taking the module live and make changes over time.
13. Once you have added all your custom questions and decided on which fields to enable click view to see what your requesters will see.
14. Your Reservation Calendar will open, click "Request Reservation"
15. This is the form your requester sees.
Create a test reservation to test your set up and see what your requester experiences.
16. Don't forget you can set up Pre and Post Reservation Inspections
