Editing extracted fields

How to correct line items, quantities, prices, and other extracted data before approval.

If Fluent extracted something incorrectly — or a field is missing — you can edit it directly on the document. No separate edit mode, no tools to open.

Editing fields

  • Text fields and dropdowns — click to edit or pick a new value

  • Line items — click any cell in the line-item table to edit quantity, price, description, or GL distributions

  • Add a line — use the + icon at the bottom of the table

  • Remove a line — use the − icon on the row

Saving your changes

Edits are not saved automatically. When you're done:

  1. Click Save

  2. Your changes are merged into the document, and a new version is recorded

If the document is ready to move forward, click Process after saving to push it to your ERP.

What gets tracked

Every edit is logged in the document's activity timeline:

  • The user who made the change

  • A timestamp

  • The specific fields that were updated

This gives you a full audit trail of who changed what and when.

Editing a 🔴 Rejected document

If a document has been 🔴 rejected, editing it automatically:

  • Moves the document back to 🟣 Pending

  • Resets all approvers' statuses so the approval cycle starts over

This makes sure reviewers see your changes before the document can move forward again.
