Setting up document approvers

How to configure which team members must approve documents before they can be processed.

When approvers are configured on an Agent, every document it processes will sit in Pending status until all required approvers have acted on it. Without approvers, documents move straight to processing.

Adding an approver

  1. Go to Manage Teams > Agents and open the Agent

  2. Go to the Workflow tab and find the Approvers section

  3. Search for a team member by name or email (minimum 3 characters)

  4. Select them from the results — they're added immediately

  5. Optionally, click the edit icon to add a role description (e.g., "Reviews pricing and line items") — the Agent uses this to understand each approver's responsibility

Removing an approver

Click the trash icon next to the approver's name. They'll no longer be required to sign off on future documents. Documents already in Pending are not affected.

How approval works

  • All listed approvers must approve before the document can move to Approved

  • Any approver can reject — the document is then blocked until edited or the rejection is undone

  • Editing a rejected document automatically resets all approvals and returns the document to Pending

  • Admins can use Force Approve to bypass pending approvals when needed

No approvers configured? Documents processed by the Agent will skip the approval step entirely and move straight to processing.
