AI Governance and Administration

Purpose

This guide helps Admins manage account-level settings, monitor credit usage, and control users, groups, features and AI models within the Fluidfit.ai web application.

User Roles Hierarchy Overview

The system follows a structured, top-down hierarchy to manage permissions, features, and access across the organization. The roles are defined as follows:

  1. Admin

  2. Group Admin

  3. Users


1. Admin (Top-Level Governance)

The Admin holds the highest authority and has full visibility and control across the entire workspace. In this system, an Admin can:

  • Monitor credit usage for the entire organization.

  • Assign users to groups and manage group membership.

  • Allocate credits to groups based on usage needs.

  • Enable or disable features and AI models at both the organization level and the group level.

In summary, the Admin is responsible for:

  • Managing all Group Admins

  • Overseeing all Users across the organization
    Configuring organization-wide settings, credit allocation, features, and AI model access

2. Group Admin (Group-Level Governance)

Group Admins operate under the Admin and are responsible for managing users within their assigned groups.They can:

  • Add or remove users in their groups

  • Control specific features and AI models available to their users

3. Users (Operational Role)

Users are the primary operators in the system.Their access is defined by:

  • Admin policies

  • Group Admin configurations

Users work with the features and AI models provided to them to produce valuable outcomes using the features provided by FluidFit.ai.

Features

  • Credits Management

The Credits Management feature allows administrators to monitor and allocate credits across the organization with full visibility and control.

Credits Monitoring Admins can track credit consumption through multiple breakdowns, including:

  • Overall credit usage

  • Group-wise usage

  • Flow-wise usage

  • Feature-wise usage

  • Model-wise usage

  • User-wise usage

This enables detailed insights into how credits are being utilized across different areas of the system. Also, a built-in calendar filter allows admins to analyze credit usage over custom time periods, helping them identify trends, patterns, and consumption spikes.

Credits Allocation Admins can assign credits to specific groups based on organizational needs and usage behavior.

  • Users Management

The Users Management feature allows administrators to manage user information and access within the organization.

An admin can:

  • Edit user details, such as name, email, or other profile information

  • Assign users to specific groups based on organizational structure

  • Assign or modify user roles to control their permissions and feature access

  • Features Management

The Feature Management module enables administrators to control the availability of specific features across the organization.

Admins can:

  • Enable or disable features for the entire organization

  • Configure feature access for individual groups based on their needs

This ensures that each group or user works only with the features relevant to their responsibilities.

  • AI Models Management

The AI Model Management feature allows administrators to control which AI models are available across the organization and within specific groups.

Admins can:

  • Enable or disable specific AI models for the entire organization

  • Configure model access for individual groups

  • Adjust default model settings for specific features to align with organizational needs

This ensures that each team works with the most appropriate models while maintaining governance and consistency.

Guide for Admins:

If you are an Admin, then you will see Admin controls on the left on Fluidfit.ai web app Settings.

Access the Admin Area

1. Log in to Fluidfit.ai.

2. Go to Settings → Admin.


Admin → Organization

The Organization panel gives you full insight into credit activity across the system.

Usage:

  • Review Issued, Used, Remaining, and Assigned Credits.

  • Check Credit Usage charts, Group Usage, and Model Usage.

  • Investigate anomalies by comparing groups and time ranges.

Admin → Users

The Users panel provides complete control over user management.

Usage:

  • Edit user details through the row action.

  • Assign/unassign groups.

  • Invite new users.

  • Remove users.

  • Export data via CSV.

Admin → Groups

The Groups panel allows you to modify user roles and manage feature or model availability for each group.Usage:

  • Create new groups.

  • View users under each group.

  • Assign roles at group level.

  • Adjust Issued or Available Credits.

Admin → Features

The Features panel enables admins to manage which features and models are accessible organization-wide.

Usage:

  • Toggle Active state for a feature.

  • Click Manage to configure model-level settings.

  • Set default models per feature.

Guide for Group Admins:

If you are a specific Group’s Admin, then you will see limited Admin controls on the left on Fluidfit.ai web app Settings.

Access the Group Admin Area

1. Log in to Fluidfit.ai.
2. Go to Settings → Admin.

Admin → Users

The Users panel provides complete control over user management—viewing all users specific to this group or users with no groups, assigning or unassigning them to/from this group, editing their details, or removing them from the organization.

Usage:

  • Edit user details through the row action.

  • Assign/ unassign groups.

  • Invite new users.

  • Remove users.

  • Export data via CSV.

Admin → Groups

The Groups panel allows you to modify user roles and manage feature or model availability for this specific group.Usage:

  • Create new groups.

  • View users under the specific groups where the user has admin access.

  • Assign roles at group level.
