What should I do if my appointment doesn’t have a dynamic zoom link?

Ensure you are logged into your zoom application - open a new meeting and invite the patient by dialing their phone number to conduct a visit. If the Zoom link does not appear, log into Zoom on Foodsmart.okta.com, start a meeting, and dial the patient from the Zoom meeting. All visits including audio must be called from a Zoom Room.

What should I do if the dynamic Zoom link doesn’t work for either me or the member?

Why do I need to log into the Zoom application prior to my visits now?

By completing all member interactions from your zoom application and the dynamic links - we’ll have more accurate reporting for visit duration, billing, etc. the patient will have enhanced communication about their upcoming visits and future enhancements/integrations with zoom and Foodsmart for Dietitians are possible

What if the call disconnects?

Stay in the Zoom room and wait for the member to call back or initiate the call by inviting and dialing the member's number. Do not call from the Web app phone.

What do I do if the member calls back while I am in the meeting?

If the member calls you back while in the Zoom meeting:

  • Step 1: Accept the call and place the meeting on hold

  • Step 2: Copy the Zoom link by clicking on the up arrow next to participants

  • Step 3: Click the three dots on the dial pad

  • Step 4.: Invite the member to the meeting

  • Step 5: Copy the Zoom link

  • Step 6: Admit the member to the Zoom meeting

How to send an SMS Text Message while in the Dynamic Zoom Room?

While in the Zoom room with your member or waiting for your member to arrive. (Do not close the Zoom Room until the appointment is over)

  • Step 1: Click on the Zoom application from Foodsmart Okta Dashboard

  • Step 2: Click on Web app

  • Step 3: Click on Phone

  • Step 4: Click on SMS

  • Step 5: Click on the pencil

  • Step 6: Enter members's phone number

  • Step 7: Enter the text message

  • Step 8: Send the message

For Foodsmart Issued Mac Computer click on the Zoom desktop application and start with step 4

I am not able to hear my patient in the Zoom meeting

What phone number appears when calling from the Dynamic Zoom link?

The caller ID will show your direct Zoom Phone number. The caller ID will display as Foodsmart or Redwood City, CA. This depends on the patient phone carrier. It does not show as spam or a telemarketer.

Do I still have a personal Zoom Room?

No, all personal Zoom Rooms have been shut down. RD's are able to open a meeting through the Web app to call patients that are not currently on your schedule in Foodsmart For Dietitians.

How long does the Dynamic Link appear in Foodsmart For Dietitians?

As soon as you schedule the patient in Foodsmart For Dietitians the Dynamic link is created

Can I still call from my Web app phone?

No! Make all calls from the Dynamic Zoom Links moving forward. Billing units will be audited by the meeting and phone duration within the dynamic zoom room.

I need more training on using Zoom and dynamic links - where can I find that?

Self enroll in the Using Zoom (with dynamic links) module from the Systems and Tools collection in WorkRamp - you can use this link to access (this is optional training)
