Using Custom Views to Organize Your Data in Gaia

Custom Views in Gaia let you quickly see the exact data you care about—whether it's food items, inventory details, or menu usage—without digging through everything.

🧩 What Are Custom Views?

Custom Views are personalized snapshots of your data, filtered and organized based on the criteria that matter most to you by choosing specific attributes like: categories, meal pattern components, allergens, custom tags, cycle menu usage, storage site, and inventory status.

Each view can be set to visible just to you or shared with everyone in the district, so teams can build standard views for common workflows (e.g., a Director view for nutrition review, a Kitchen Manager view for daily prep).

When to Use a Custom View

  • Spot-checking many items at once (missing nutrition, missing GTIN, missing pack size)

  • Reviewing recipes side-by-side by allergen, meal component, or cycle menu

  • Filtering the Pantry to just the items relevant to a specific school or storage site

  • Building a shared view your team can return to without re-applying filters each time
