What a Delivery Window Is
A delivery window tells Gaia when a vendor delivers to a school. Delivery windows are required for the ordering system to generate orders on the right schedule and to determine which delivery covers which days of the menu.
Each vendor can have multiple delivery windows. A school that receives deliveries on Monday, Wednesday, and Friday needs three separate delivery window entries for that vendor, one for each day.
What You Need Before You Start
The vendor must already exist in Gaia. See Create and Edit Vendors.
The schools that will receive these deliveries must be set up in Gaia.
The agreed delivery schedule from your vendor contract: lead time, delivery day, frequency, and which schools each delivery covers.
Adding a Delivery Window
Navigate to the Vendors section from your main menu.
Open the vendor and click Edit.
Open the Deliveries section.
Click Add Delivery to start a new delivery window.
Specify the first instance of the delivery (the first calendar date this window applies). Gaia will calculate all subsequent deliveries from this date.
Set the lead time by selecting the order-by date and the receive-by date.
Set the frequency (typically "once a week" for a recurring weekly delivery).
Select the schools that will receive items on this delivery window.
Save the delivery window.
Adding More Delivery Windows for the Same Vendor
Repeat the steps above for each additional delivery day. Each entry is independent. For example, a vendor delivering Monday and Thursday to the same schools needs two delivery windows, each marked as "once a week."
How Delivery Windows Affect Orders
When a school uses Shop Week to generate orders, Gaia uses the delivery windows to:
Decide which vendor's order to generate for each delivery day.
Enforce the order-by deadline. If the deadline has passed, Gaia will not generate an order for that delivery.
Determine which days of the menu each delivery covers (a delivery covers the rest of the current week from the day after it arrives).
