How to set shelf life on items, how Gaia calculates expiration at receiving, and what expiration does on production records.

What Shelf Life and Expiration Do

Shelf life is the number of days an item is good for after it arrives. Expiration is the specific date on which an inventory lot expires. Gaia uses both to track when inventory will go out of date so you can use it in time or remove it from on-hand counts.

Setting Default Shelf Life on an Item

  1. Open the item page from the Pantry.

  2. Find the shelf life field on the item details.

  3. Enter the number of days.

  4. Save the item.

When an order is received for this item, Gaia uses the shelf life to calculate the expiration date.

Adjusting Expiration Dates for an Item

Expand the inventory details, hover over the expiration date (or No expiration date) and click on the pencil.

Choose the new expiry date from the calendar.

Adjusting Expiration at Receiving

When an order is received, Gaia uses the default shelf life to set the expected expiration date. If the actual inventory arrived with a different date, adjust it in the receiving dialog. See Receiving an Order with Substitutions and Missing Items.

What Expiration Does on Production Records

  • Gaia blocks adding an item to a production record on a day past its expiration date.

  • Gaia warns you when on-hand inventory of an expiring item is approaching its expiration.

  • The On-Hand Basket flags inventory near or past expiration so it surfaces for use first.
