This guide walks through the weekly routine in Gaia from start to finish: forecast what you will serve, order what you need, keep inventory accurate, and complete your production records. Each step links to a detailed article if you want the full how-to.
Step 1: Navigate the weekly production view
The weekly production view is your hub. Use the date controls (top left) to move between weeks, the Display menu (top right) to choose what shows on each card and how days are laid out, and the Tools menu for bulk actions like Smart Forecast and Shop Week. Each day shows its production cards, related orders, and the on-hand inventory relevant to that day.

Step 2: Create and manage forecasts
Enter a forecast for each recipe by servings, or expand the recipe and forecast by ingredient amount. Confirm the forecast to move the card from Open to Confirmed and commit the inventory it needs. You can forecast many recipes at once, let Gaia suggest amounts from your history, or handle assorted recipes that offer a choice of items.
Step 3: Manage orders
After forecasts are confirmed, Gaia shows an inventory status for each recipe and ingredient. Click the status to see the projected inventory timeline. Use Tools > Shop Week to generate the week's orders, then review, place, and receive them on the Orders page.
Step 4: Manage inventory
Keep on-hand counts accurate. You can true up a count directly from the on-hand panel, or use the full set of actions (Check-In, Check-Out, True Up, Transfer) from the item page or the Pantry.
Step 5: Complete production records
At the end of the day, record what was offered, served, damaged, discarded, and left over, then submit. Submitting updates your on-hand inventory and returns any leftovers to the on-hand panel for future use. You can also print or export the production record.
