About the Pricebook

The Pricebook serves as the central hub for managing all the equipment, services, labor rates, taxes, and discounts your business offers. It ensures your team creates accurate estimates and invoices while maintaining consistent pricing for customers, whether in the office or out in the field.

Navigating to the Pricebook Settings Page

To access the Pricebook Settings page, click on "Settings". Then, under the “Company” section in the submenu, select Pricebook.

Pricebook Overview

The Pricebook page organizes all types of Pricebook items into clearly labeled tabs, including Service, Material, Equipment, Labor, Tax Rate, and Discount.

Each tab contains a table specific to that item type, displaying key details in the following columns: Name, Description, Category, Cost, Price, Taxability, Discountability, Status.

Adding & Editing Items

To add a new item, click the blue “Add New Item” button and select the desired item type from the dropdown menu.

A drawer will slide out on the right side of the page, where you’ll find the input fields needed to set up the item.

Provide the following details: name, category, cost, and price. You can also mark the item has being taxable and discountable. If you're using Quickbooks, you'll be able to map the item to an Income Account.

To edit an existing item, simply click on it within the table.

This action will open the same drawer, allowing you to update the item’s details as needed.

Pricebook Categories

Categories help you efficiently organize your Pricebook, making it easier to locate items when creating an Estimate or Invoice. To manage categories, click the “Categories” button on the right side of the page.

A drawer will open, displaying your current categories in a tree structure.

To add a new top-level category, click the blue “Create Top Level Category” button.

This will open a modal with a single input field where you can enter the category name.

To view subcategories under a category, click the ”+” icon to expand it.

When you hover your mouse over a category, additional actions will appear, allowing you to add a Subcategory to the selected category, Edit the category name, or delete the category.

Importing a Pricebook

Importing a Pricebook allows you to seamlessly integrate your existing items into Breezy.

To begin, click on the "Import" button in the top right. This will open a fullscreen modal containing the import workflow.

The first step will be to upload your pricebook file. You can do so by dragging and dropping the file into the window or by clicking on "Upload file".

Once the file has been uploaded you'll have to map the "Incoming Fields" from the uploaded file to the "Destination Fields" in Breezy. Once everything looks good, click on "Continue".

You'll then be asked to map the Item Type fields. Once ready, click on "Continue" again.

You'll now see all of the items and categories that have been imported.

If any items are "Invalid" you'll want to correct those by ensuring that they are mapped to the correct category.

Once ready, click on the blue "Review" button in the top right.

The review step is where you'll be able to understand how the Pricebook is being updated by the import.

There are 3 sections: Modified, Deleted, and New. Click to expand or collapse these sections to understand the changes being made.

To preview the Pricebook, click on the "Preview" button in the top right.

This will display the modal version of the Pricebook where you'll be able to see all of the categories and subcategories.

If everything looks good, click on the blue "Submit" button in the top right.

This will trigger a confirmation dialogue that also explains that you'll be able to roll back to a previous version of the Pricebook if any unintended changes have been made.

The Pricebook has been successfully updated!

Exporting a Pricebook

Exporting your Pricebook allows you to download a copy of your items or categories for external use. To begin, click the “Export” button located in the top-right corner of the page.

A modal will appear, prompting you to select whether you’d like to export your Pricebook items or categories.

Once you’ve made your selection, click “Export” to download the file to your device. This provides a simple way to back up or share your Pricebook data.

The Pricebook has been successfully exported!

Version History

To revert your Pricebook to a previous version, click the “Version History” button located to the right of the table area.

This will open a drawer displaying all saved versions of your Pricebook.

You can either download the Pricebook Items file by clicking on the file name or restore a version directly by clicking the “Restore” link on the right-hand side. Selecting “Restore” will trigger a confirmation modal.

Once you confirm, the Pricebook will be restored to the selected version, allowing you to recover or revert changes seamlessly.

And that concludes the Pricebook guide!
