0:00 All right, welcome back to our series on how to use the technician app at Brazy. In this video, we're going to be covering how to prep for a job.
0:08 So there's a few different things you're going to want to be able to do here, but first off, make sure you clock in.
0:12 You can see I'm already clocked in here, that's why it looks like this. If I wasn't, you'd would see it would look like this.
0:18 So let's make sure we're clocked in, and then you figure out what job you're on. You can see your list of jobs for the day.
0:24 In this case, I've got four on my schedule here, and you can take a look. You can see the timing of them.
0:30 You can also hop over to this view of your schedule if you want to look at a little bit differently, and I'll say okay, I've got an 1130 slot, a 2pm slot, and so on.
0:39 So I'm going to hop back over here to appointments, and I'm going to select this job right here. Once we're in here, there's a few different things you can do to help you make sure that you are prepared, which again is the purpose of this video.
0:52 So first off, you can tell your customer you're on the way, you can do all that stuff when you're in route, but in general, when you really want to dial in on how do I make sure I understand what I'm doing for this customer.
1:05 First off, you can see that you have your job type listed here, and it says in this case it's a miscellaneous maintenance job.
1:12 Always a good idea to go ahead and click on that, open it up, and you can get some more information about this job if you're looking for that.
1:20 Maybe you look right at it You already know what the job entails, that's obviously a good thing, but in case you don't, you can click on that.
1:26 You also can scroll down and see appointment notes here. So these are again our notes just pertaining to this particular appointment as they've been put on by your teammate.
1:37 But you can click in here and you can see that stuff. You can also see if other pictures have been added on this job previously, other attachments, any other activity.
1:45 In this case this has been a pretty quiet one, but sometimes there's more things going on. Especially if there are multiple services involved in this job.
1:53 Maybe you haven't been the only technician there, so you want to brush off on what other people have been doing.
1:57 If there were a maintenance plan, it would be visible right here. You also have your point of contact, your location, your appointments, in this case it's just the one.
2:06 But this would give you some helpful context. If there are other appointments on this before or after this one in the cycle.
2:12 You can see if they're on any financing plans. You can see if they have any estimates that have been provided to them relating to this job specifically.
2:19 So that'll help you to know what you're doing as well if there's already been an invoice or an estimate provided.
2:24 Also, invoices got all that right here and that's all just pertaining to this job specifically. Another thing you can do if you have some other questions or if you really just want to be thorough about how you're preparing here, then you can also click on the contacts name here and this gives you more
2:40 of a view across the job. So you can see appointments, again this would include this one and other ones that aren't just related to that job, in the past, in the future, whatever.
2:51 You can see payments they've made, maybe they have some outstanding payments remaining, that would give you some information there. You can see if they have multiple addresses, what's the history of those different addresses, you can see what is the different equipment that they're using here, in this
3:07 case they've got two different pieces of equipment on file already, you may be able to add some more by the time you're done with this appointment depending on what you're there for.
3:14 But we've got two pieces of equipment and no HVAC systems, so maybe while you're there you can figure out what their HVAC system is and you can get that entered into the system here because that will give you guys some extra stuff to track back in the office to be able to see some metrics.
3:29 Of how old is the system? When is it going to be due for servicing? When is it maybe time for a replacement, right?
3:35 All this is valuable stuff that you can see here if it's already in there and you can add if it is not.
3:40 Also you can click on the address here to f-f you the details and history of that specific location. You can also access it by coming back to the customer and then choosing their address from this list here.
3:57 Alright some other helpful things to help you prepare. Looking in the tags here are going to be pretty helpful. In this case we see there's an equipment upgrade that has been tagged here.
4:07 So you know that this is going to be some kind of equipment upgrade. In this case it's also been tagged as a heat pump repair.
4:14 So between these two things we got a pretty good idea that this is going to be something that we're working on the heat pump possibly to replace or upgrade it.
4:21 We also have a summary here that gives us a specific description of the job as it's been typed in by your team in the office as they set this up.
4:29 You also have the contacts or might be multiple contacts associated. associated And then again this contacts down here super helpful to know if this job is under maintenance plan or if it has an invoice estimate equipment HVAC system.
4:43 Again some of the things we saw on the other page there's just multiple ways to look at it multiple ways to find it.
4:47 We want to make sure you have as many ways as possible. As possible to come across this information here. Alright like I said these notes are available here as well.
4:57 This is super super helpful to see what your team has been saying about this right. There's some really important bit of information here such as requires a span of speaking technician.
5:05 Ignition! Right? If you read that on a job you're going to, you don't speak Spanish. That might be something to call the office about and make sure that you're at the right place.
5:12 But in general you can also see if there are other things going on. You'll notice these tags are here. This is ways that as we'll talk about in other videos uh you can tag.
5:22 Other team members or other team members can tag you in notes. That means you can see if you've been tagged on one of these you know hey heads up be aware of this.
5:29 This is an important thing to to have your eyes on. You can also edit and delete some other notes from the past if that's relevant.
5:36 As well as adding new files. a So all of these things are different tools that are at your fingertips of ways that you can make sure you're being just super thorough.
5:44 You're red up on your customer and you know what you're doing. Not all of these may be relevant for every job but all this is here at your fingertips for every job you go to and that means that you're going to be able to make sure that you're informed and you're providing that customer the best service
