Creating Tasks

After reviewing your Tasks General Settings, you can create and assign tasks to your staff. Note: Staff must be added to your Golf Shop Account to be assigned tasks and receive notifications. For details on adding staff to your Golf Shop Account, Click Here.

In this article, we will discuss how to create a task on the web browser.

Quick Task Entry

To create a task with basic information (i.e., task name, due date, and assignee), follow these directions:

  1. Go to Staff > Tasks > Dashboard.

  2. Assign the Name of the task (as shown below). Keep it short and simple.

  3. Click the Due date (as shown below) to select a date other than the default date. You will have several options when selecting a due date:

    1. Today: Sets the due date as the current day and allows you to pick a time.

    2. Tomorrow: Sets the due date as the next day and enables you to pick a time.

    3. Next Week: Sets the due date on the first day of the week and lets you pick a time.

    4. Pick a Date: Select a specific date and time.

  4. If selecting a due date and time, click "Save."

  5. Click "Assign To" to select who you are assigning the task. In the drop-down, select a group of staff and specific individuals to be assigned to the task (as shown below). Note: You do not need to assign staff, as staff can be assigned or select the task later.

  6. If selecting staff, click "Save."

  7. Optionally, click "More Options." These additional options will be discussed in the next section.

  8. If you want the task marked as important, click the "Star" so it is highlighted in black.

  9. Click "Add," and the task will be added to the dashboard.

Task Entry with "More Options"

To create a task with more detailed information (i.e., recurring task, due date, and assignee) in addition to the basic requirements, follow these directions:

  1. Go to Staff > Tasks > Dashboard.

  2. Optionally add (Note: These items are not required at this time as you will be able to add them later.):

    1. Name

    2. Due Date

    3. Assign To

  3. Click "More Options" (as shown below)

  4. Fill in the following:

    1. Task Name: The Name of the task.

    2. Assign To: Assign the tasks to an individual or group of staff. In the drop-down, select a group of staff and specific individuals to be assigned to the task (as shown below). Note: You do not need to assign staff, as staff can be assigned or select the task later.

    3. Recurring: Would you like the task to repeat at regular intervals. When selecting recurring task, define the start date (the first time the task should occur), the completion time, and the end date of the recurring task.

      Note: Only the most “upcoming” recurring task is displayed on the Dashboard. Once that task is marked as complete, a clone is created for the next date using the content from the previous recurring task.

      The following recurring options are available:

      1. Not Recurring: The task is a one-time event and will not repeat.

      1. Daily: Repeats every day.

      2. Weekly: Repeats every week on the same day of the week as the first instance.

      3. Biweekly: Repeats every two weeks on the same day of the week as the first instance.

      4. Monthly: Repeats every month on the same day of the month as the first instance.

      5. Yearly: Repeats every year on the same month and day as the first instance.

    4. Due Date/Time (Not displayed for "Not Recurring" tasks): Select the task's due date and time.

    5. Task Description: Add a description for the task if necessary.

    6. Tag Customer Type: Select if you want to assign a Member or Guest to the task. The member and guest will receive a notification about the task if enabled. For details about turning member/guest notifications off, Click Here.

      1. Member: Select the following for members:

        1. Tag Customer: Select the member from your member roster.

      2. Guest: Enter the following for the guest (Note: If you maintain a Guest Roster, you can start typing a guest's first name, last name, or email in the respective field and then select that guest saved to the guest roster.):

        1. Tag Guest First Name: Enter the guest's First Name.

        2. Tag Guest Last Name: Enter the Guest's Last Name.

        3. Tag Guest Email: Enter the guest email address for email notifications.

        4. Tag Guest Cell Phone: Enter the guest's phone number for text message notifications.

    7. Task Tags: Select a task tag. When adding a task tag, the task will also be flagged with the task tag. Note: Manage Task Tags from the Tasks General Settings.

    8. Important: If you want the task marked as important, click the "Star" to highlight it in black. Note: Tasks marked as important will be listed at the top of the Task Dashboard.

  5. Add Files to the task. On the right hand side, you can click the upload cloud icon to add files to the task (as shown below).

  6. Include Internal Notes. If you need to add any internal notes, include them in the task. Note: Internal notes added to a recurring task are not carried over to subsequent tasks. You must add notes to each new task instance as it appears.

  7. After adding all of the necessary items to the Task, select one of the following options:

    1. Save Task: The task will be added to the Task Dashboard, and any applicable notifications will be sent to staff and members/guests.

    2. Save and Add Similar Task: The first task will be added to the Task Dashboard, and any applicable notifications will be sent to staff and members/guests. A new task pop-up will also be displayed, and all the information from the first task will be cloned.

Automated Notification

After entering the task and assigning a staff member or group of staff, the staff will then receive an email notification (if enabled) and text message notification (if enabled) about the task.
