Module:
This feature is included in goTom Publisher. Please note that the pipeline view is currently in a test phase and may require a license in the future.
Role:
To access it, the user needs a corresponding role.
Where to find:
The leads and contacts are located in the navigation under "CRM":
Functionality:
Contacts are external contact persons who belong to the customers existing in goTom. To link a contact to a customer, the customer must already be created.
If the contact person changes companies, the link can be removed or adapted to the new employer.
Contacts can also be edited directly from a customer:
Contacts can be used for the following functions:
in CRM tasks and activities
in campaign data for sending screenshots and reports
Mark a contact as lead
Contacts can be marked as leads. There is a corresponding checkbox on each contact that must be activated. Contacts that are marked as leads can be displayed in the contacts overview and thus edited in a lead overview by filtering for contact type "Lead".
Contact pipeline status
You can assign a pipeline status to a contact - regardless of whether they have been marked as a lead or not. Read more information about the pipeline status
Pipeline View (Beta)
There is an additional pipeline view for leads and contacts.
Switch view
In the overview of leads or contacts, there is a drop-down button at the top right (next to the filter) that you can use to switch between the table and pipeline view.
Structure of the pipeline view
In the pipeline view, leads or contacts are displayed as cards in columns. Each column represents a pipeline status (e.g. “New”, “In progress”, “Won”, etc.). The usual filters (e.g. by lead status, date, salesperson) also work in the pipeline view.
Configuration
You can define which columns (pipeline statuses) should be displayed, including inactive pipeline statuses. At least one column must remain active. For the cards, you can decide which information is displayed next to the first name/last name (function, company, sales). First/last name always remains visible. goTom remembers your configuration for future sessions.
Drag & Drop
You can drag and drop a card (contact or lead) into another column to change the pipeline status (provided your user role allows you to edit).
Editing contacts in the pipeline view
Clicking on the edit icon on the card opens the usual contacts form. After saving or canceling the form, you will return to the pipeline view.
Please note that the pipeline view is currently in a test phase and may require a license in the future.
Birthday and birthday reminder
If the applicable data protection regulation allows the storage of birthdays, the contact's date of birth can be entered here.
If you set a reminder, goTom will send an email notification X days at 5.30 before the birthday. The email goes to the users in the "Sales" field.
Sales
One or more of the users created in goTom can be assigned as the responsible salesperson. The assigned users must have a sales role for this.
