🧩 Your carbon footprint is estimated in part based on information about the habits of your employees. This information is gathered using a survey in the form of a simple questionnaire.
The goal of this module is to engage your employees in your climate strategy.
To start setting it up, go to the "Employee data" module under the "Data"> "Data Collection" menu of the platform.

Survey configuration and preview 🔎
You will be able to customize the survey with your preferred settings with the language, country, and the number of days off the employees have. These changes will become the preset for all responses and won't be possible to override. If you wish for each employee to set up their language, country, and days off, leave that piece of information blank.
On this page, you also have access to a demo version to preview the questionnaire, before sending it to all your employees. The demo version allows you to answer the questionnaire without your answers being taken into account.
Sending methods 🤔
You have two options to send the employee survey:
You can choose to send the survey directly from Greenly's platform :
You can add the email addresses and click on "Send survey". The email status will be set to "Sent".
You can choose to add the email addresses and send the survey later by clicking on "Add mail without sending". The email status will be set to "Not sent".
You can handle the campaign yourself thanks to a unique link or a QR code that can be added to your internal communications.
For older versions of the survey, the sending method via a unique link is not available, you can ask the Support Team about upgrading to access this functionality!
Deleting an employee :
To delete one or multiple employees, you can click the tickbox on the left of their email address and hit "delete".
Following the same method, you can also choose to send the survey again to each employee who hasn't answered or received it yet.
The status of the module will change to "upload complete" once you have reached a 60% answer rate. Of course, you will still be able to receive employee responses until you ask for your report.

👉 We advise you to present the carbon accounting internally to inform your collaborators that your organization is involved in a climate strategy. This internal presentation will also help to collect more answers to the survey. You can also use this template email that we have prepared.
👉 Is there something I should do before sending the survey to my employees?
We would encourage you to warn your employees in advance about the questionnaire, which will be sent to them by the email address “ no-reply@greenly.tech”. This will ensure that they do not take the email for spam or online marketing and that they check their spam folder.
👉Should we use grouped email addresses? It is of utmost importance that you provide each employee's professional address and not a grouped address, as we only take one response per mail into account.
👉 Are replies to this survey anonymous? Yes
👉 What if my response rate is not 100%?
If the reply rate is not 100% or some of the employees you worked with during the survey period are not in your company anymore, no worries, the missing results will be extrapolated based on available ones from our database.

Once your employees start responding to the survey, you will have access to the employee-related emissions without extrapolations for the employees who haven't completed the survey yet.

Raising your coworkers' awareness of climate change-related issues is essential to putting fighting climate change at the heart of your company's mission and ensuring your reduction actions will gain momentum.
These quizzes aim to better understand the causes and consequences of climate change by offering an analysis of greenhouse gas emissions in main business sectors.
You can now activate the training campaign from the Recommended Actions tab of this module.
You will then be able to know which employees completed the modules and which didn't. This will help you reach out to whoever needs a reminder to complete their training.

Survey
Do all employees need to complete the survey, including part-time staff?
Yes, we recommend that everyone in your company take part, including interns, apprentices, short-term contracts, and part-time employees. Please note that only a portion of their yearly emissions will be included, so it’s important to indicate their start and end dates, as well as whether they are part-time.
Is it possible to get the questions?
Yes, please reached out to the support team.
Is it possible to remove some questions?
Yes, this is possible, but only for the sections on meals and remote work. If you would like to make this adjustment, please contact our support team.
Is it possible to set up a default value? Yes, you can define both the country and the number of paid leave days in the settings before launching the survey. Once the survey has started, these settings can no longer be changed directly, you'll need to contact our support team.
What if the employee module is validate with less than 60% employee answers?
For the rest of the answers, the system will do an extrapolation, which will estimate results based on a national average.

Are there training reminders?
Yes. Employees who have not clicked on the training link will automatically receive a reminder after one week.Is it possible to send a reminder only for those who didn’t complete a specific training?
No. There’s a button below each training “send this training” but it will send to every employees.
