Managing Membership Upgrades

When a student chooses to upgrade their membership in Groovio, it’s important to understand the timing and process for the upgrade to take full effect.

How Membership Upgrades Work

When you upgrade a student’s membership (e.g., from Silver to Gold), the new membership will take effect at the next billing date. This means:

  • Current Membership: The student will continue to use their current membership until the next billing cycle.

  • New Membership: On the next billing date, the new membership credits and benefits will automatically become available.

If you’ve recently processed an upgrade, be aware that the student may need to wait until their next billing date for the new membership to activate fully.

Verifying Membership Upgrade Status

Since students cannot upgrade their own memberships, follow these steps to confirm if the upgrade has been completed:

  1. Access the Student Profile: Go to Groovio > Manage Studio > Students and select the student’s profile.

  2. Check Membership Details: In the profile, locate the membership section.

  3. Upgrade Button: If you still see an Upgrade button, this indicates the upgrade has not yet been completed. Clicking this button will allow you to proceed with the upgrade.

Troubleshooting Class Booking Issues

If the student’s membership benefits are not appearing during booking, confirm the following:

  • Membership Activation Date: Ensure that the new membership has reached its activation date, which is the next billing date after the upgrade. If the upgraded/downgraded membership hasn't become active the student wont be able to book classes using it.

  • Student Profile Verification: Verify under the student’s profile that the correct membership is displayed.

By following these steps, you can ensure a smooth membership upgrade process, minimizing any disruption to the student’s class bookings.
