Using Groovio's Checkout

Groovio’s Checkout system acts as your in-studio Point of Sale (POS), allowing you to process payments for classes, memberships, packages, and retail items—while supporting flexible payment options.


Where to Find It

  • Go to Groovio > Checkout, or

  • Access Checkout directly from a student’s profile for quick transactions.

  • Access class checkout directly from a scheduled class, by clicking on the Add Student button


Select the Student

Start by selecting the student you’re processing a payment for.
If the student has dependents (e.g., children), you can switch the booking to their name.


What You Can Purchase

The Checkout supports the following:

  • Classes – Choose the date and class, then proceed to payment.

    • When purchasing a class, the studio will see all of the student’s active packages and memberships.

    • If a package or membership isn’t eligible for that class, a yellow triangle appears.

    • Clicking the yellow triangle explains why the item isn’t eligible.

  • Packages – Multi-class passes or drop-in bundles.

  • Memberships – Ongoing subscriptions (with options to customise).

  • Retail – Studio products like merchandise, equipment, or snacks.


⚙️ Payment Options

Full Payment (Default)

The full amount is charged immediately.
You can override the price if offering a special rate.

Partial Payment

Enable this to charge only part of the total upfront—ideal for custom payment plans or deposits.

  1. Input the first instalment amount.

  2. Choose a payment method:

    • Wallet (if balance exists)

    • Card on file (if available)

    • Cash, bank transfer, or other manual methods

Any remaining balance will:

  • Appear on the student’s profile under Partial Payments, flagged with a red dot.

  • Be payable later through the Checkout by staff.

  • Be payable by the student through the app (students cannot create their own instalment plans).


Membership Options

When purchasing a membership:

  • The first payment is always processed immediately to activate the membership and enable class bookings.

  • You can customise:

    • Start Date – Delay the membership start (e.g., until after a course begins)

    • Amount – Adjust the first payment only, or all future payments

    • Expiry Date – Set a specific end date if needed

  • Optional: Enable partial payment (use with care for memberships)

Important: A first payment is always required to activate the membership.


Retail Purchases

Select products from your retail catalog (e.g., merchandise, drinks, or equipment).
You can adjust the price, enable partial payment if needed, and complete the transaction with the student’s preferred payment method.


Quick Checkout Access

You can jump directly into Checkout from a student’s profile to:

  • Add a purchase

  • Apply a payment quickly


Tips

  • Red dots on class bookings or profile pages indicate unpaid balances.

  • Use the student’s wallet balance or card on file to simplify transactions.

  • Adjustments to future membership payments apply only from the second billing cycle onward.
