When a student has an overdue membership payment, you can manually override the owed amount before taking the payment or cancelling the membership. You can also reduce or waive an amount owing without taking any payment.
How to Adjust the Owed Membership Amount
Go to Manage Studio > Students
Select the student with the overdue membership.
Click the Memberships tab.
Click Action beside the membership, then choose Pay Now (to collect the overdue payment and keep the membership) or Cancel & Pay Now (to settle the balance and cancel the membership). Cancel & Pay Now only appears while the membership is on Standby. If the student has requested the cancellation, the membership shows Pay Now & Accept instead of Cancel & Pay Now — click it, set the amount to $0 to waive the owing balance (choose Other as the payment method), and accept the cancellation.
In the Pay Now window, change the Amount to the figure you want to collect. You can lower it, or set it to $0 to waive the balance. Note that Cancel & Pay Now always cancels the membership, even if you enter only part of the owing amount — there is currently no way to take a partial payment toward a membership's owing amount without cancelling.
Choose the payment method and confirm. If you set the amount to $0, choose a method such as Cash or Other rather than Card on file.
Reducing an Amount Owing Without Taking Payment
For a membership that was paid with a partial payment, you can reduce what is still owing without collecting any money:
On the student's profile, open the Partial Payment tab (you can filter it to Membership).
Click View beside the membership.
Select Reduce Owing Amount.
Enter the amount to take off in Adjust Balance (Reduce amount owing without payment) and confirm.
To clear an unpaid partial-payment balance completely, enter the full remaining amount here — this waives the owing amount and works like voiding the remaining balance. Don't use Pay Now with a $0 amount to clear a partial-payment balance; Pay Now records a payment.
This gives you more control over outstanding balances and makes handling overdue payments much more flexible.
You don't need to cancel the membership to clear what's owing. Use Pay Now with an adjusted amount to keep the membership running.
