Handling Membership Pauses

Written by Jesse McNeil

Memberships can be paused for an entire membership type or for individual students only, follow the below steps to pause. When a membership is paused it will extend the length of the membership by the length of the pause.

Full Membership Pause

Following these directions will pause a membership type for anyone who has purchased this membership.

Bulk pausing options are also available, allowing you to suspend memberships for multiple users simultaneously through the Manage Studio > Memberships section.

  1. Go to Manage Studio > Memberships

  2. Click the Pause Button next to the membership

  3. Add in the start date and end date for the pause

This functionality can also be utilized for bulk-pausing memberships across various students or groups.

*The pause button will only appear once someone has purchased the membership

Individual Student Pause

This will only pause the membership for an individual student.

  1. Go to Manage Studio > Students

  2. Click the view button next to the required student

  3. Go to the Memberships Tab

  4. Click Pause/Resume next to the required membership

  5. Add in the start date and end date for the pause

It’s important to note that pauses can be scheduled in advance, and no billing occurs during the pause period.

How a Pause Changes the Next Payment Date

  • The pause end date is included in the pause. The membership resumes the day after the end date you enter.

  • The next payment moves later by the length of the pause. When the pause starts, Groovio pushes the membership's next payment date (and its expiry date) back by the number of paused days. The next charge is not taken on the pause end date or the resume date. It is taken on the original due date plus the number of paused days.

  • Until the pause actually starts, the student's profile still shows the original next payment date. The new date appears once the pause begins.

Example: A monthly membership has its next payment due on 1 November. You pause it from 10 October to 16 October. That is 7 days paused (10 to 16 October inclusive), and the membership resumes on 17 October. The next payment moves from 1 November to 8 November (1 November + 7 days). It is not charged on 16 or 17 October.

Pausing an Overdue Membership

  • A membership can't be paused while a payment is overdue. While a membership is on Standby (a failed payment is owing), the Pause/Resume option is hidden. Collect or adjust the owing amount first with Pay Now, then set up the pause.

  • If a pause has already been scheduled and the membership goes onto Standby before the pause start date, the scheduled pause is cancelled automatically when its start date arrives, and a pause-cancellation email is sent. Once the balance is settled, schedule the pause again.

Editing an Active Pause

You can now edit the dates of a membership pause while the pause is active — not only start or cancel it. This is useful when a member wants to extend or shorten a pause that has already begun.

Steps to Edit a Pause

  1. Go to the Student Profile.

  2. Navigate to the Memberships tab.

  3. Click the Action button beside the membership.

  4. Edit the pause end date.

When you change the pause end date, the membership’s end date is automatically recalculated to reflect the new pause length.

Cancelling a Pause

In addition to setting up and scheduling membership pauses, you can now cancel upcoming or active pauses directly from the student’s profile. This gives you more flexibility to manage memberships that need to resume earlier than originally planned.

Steps to Cancel a Pause

  1. Go to Groovio > Manage Students.

  2. Select the student’s name to open their profile.

  3. Navigate to the Memberships tab.

  4. Locate the membership with a pause scheduled or currently active pause.

  5. Click the Action button beside the membership.

  6. Choose Cancel Pause.

  7. Confirm the cancellation to immediately end or prevent the pause.

Notes

  • You can cancel upcoming pauses before they start, or end active pauses early if the member wants to resume sooner.

  • Cancellations take effect immediately, and the membership will continue as normal.

  • When a membership is on pause, it's not able to be used to book future classes

  • The Pause/Resume option is not shown while a membership is on Standby, or while an upgrade/downgrade is scheduled for it.

  • A membership can't be paused while an upgrade/downgrade is scheduled. The Pause option disappears while the change is pending. Resuming a paused membership, scheduling an upgrade/downgrade and then pausing it again does not work. To pause, cancel the scheduled upgrade/downgrade first.

  • In the student app, a paused membership's details show MEMBERSHIP PAUSED with the pause start and end dates.
