Getting Started with the Groovio Student App

Who Can Use the Groovio Mobile App?

The Groovio mobile app is designed specifically for students to manage their class bookings, view schedules, and handle memberships. However, it has certain limitations for staff, instructors, and studio administrators. Below is a detailed explanation of its purpose and role-based access restrictions.

Groovio's student-facing experience is available as a mobile app (iOS and Android) and a web app accessible from any browser. Most features are available on both platforms, though some — including chat, the retail shop, wallet management, transaction history, and skills/progress tracking — are available on the mobile app only.


Getting Started

Signing Up & Logging In

Students sign in using their email address. After entering their email, a one-time verification code is sent to confirm their identity — no password required. First-time users will be prompted to complete their profile and add emergency contact details before continuing.

Finding a Studio

Once logged in, students land on the home screen where they can search for a studio by name or location. After finding their studio, they tap Connect with Studio to link their account. Connected studios appear on the dashboard for quick access. Students can be connected to multiple studios.


Browsing the Schedule

After selecting a studio and location, students can browse the class schedule in a few ways:

  • Calendar View — A monthly calendar showing all available classes. Students can tap any date to see what's on and navigate forward or backward by week or month.

  • Class List — A scrollable list of upcoming classes with times, instructors, and available spots.

  • Search & Filter — Search by class name or filter by class type and tags to find exactly what they're looking for.

Each class listing shows the class name, time, duration, instructor, room, and how many spots remain (if your studio has capacity visibility enabled).


Booking a Class

Tapping a class opens its details page. From here, students tap Book Now to begin checkout.

During Checkout

  1. Class details — Confirms the class, date, time, and instructor.

  2. Suggested memberships & packages — If the studio has memberships or packages that cover this class, they're shown here. Students can purchase one to reduce or eliminate the class cost.

  3. Discount code — Students can apply a promo or discount code at checkout.

  4. Payment method — Students can pay by:

    • Saved card (from cards on file)

    • New card (entered at checkout, with option to save for future use)

    • Wallet balance (if sufficient funds are available)

  5. Waivers — If the studio requires a waiver, it is presented here. Students must agree to proceed.

  6. PAR-Q — If the studio has the Physical Activity Readiness Questionnaire enabled, students will be prompted to complete it after their first booking (or every booking, if set to mandatory).

  7. Goal Questionnaire — If enabled, students are asked a short set of goal-related questions to help the studio understand their objectives.

Once confirmed, a booking confirmation is shown and the class appears under My Purchases.


My Purchases

The My Purchases section shows all of a student's active and past bookings for that studio, including classes, memberships, and packages. From here students can:

  • View booking details (date, time, instructor, room)

  • Cancel a booking (subject to the studio's cancellation policy)

  • Invite attendees to a service booking

  • Pay any outstanding balance on a pending booking


Waitlist

When a class is fully booked, students will see a Join Waitlist (or Join Waitpool, depending on your studio's settings) button instead of Book Now. Joining the waitlist does not charge the student. If a spot opens up, the student is notified and can confirm their booking at that point.

Students can leave the waitlist at any time.


Memberships

Students can browse and purchase memberships directly from the studio's page or during class checkout. Each membership listing shows:

  • Pricing and billing frequency (weekly or monthly)

  • Commitment/lock-in period

  • Number of classes included per cycle

  • Any weekly class limits

  • Whether unused classes roll over

  • Applicable class types (by tag)

  • Sign-up fee (if applicable)

Active memberships are visible in My Purchases, showing status, next billing date, and remaining credits.


Packages

Packages work similarly to memberships but are purchased once rather than on a recurring basis. Each package shows:

  • Number of classes included

  • Validity period

  • Any weekly usage limits

  • Applicable class types

Remaining credits and expiry dates are visible in My Purchases.


Services & Appointments

Students can browse and book one-on-one or group services (such as private lessons or assessments) from the studio's page.

Booking a Service

  1. Select the service and choose a staff member (if applicable).

  2. Pick a date and available time slot.

  3. Add any additional attendees by name and email.

  4. Complete the checkout with the same payment options as class bookings.

Service Requests

After booking, the request appears under My Service Requests with a status of Pending, Accepted, or Rejected. Once accepted, students can pay any outstanding balance directly from this screen.

If waivers are required for attendees, each attendee receives an email with a unique link to sign the waiver online.


Make-Up Classes

If your studio has make-up classes enabled and a student cancels within the allowed window, they may earn a make-up credit. How make-up credits are used and which classes they apply to is configured by the studio.


Profile & Account

Students can manage their account from the Profile section.

Personal Details

Students can update their first and last name, date of birth, phone number and country code, and profile picture.

Emergency Contact

Students can add and update an emergency contact including name, relationship, and phone number.

Children

Parents can add child accounts linked to their profile. Each child has their own name, date of birth, gender, and email. Adding a child requires a digital signature and agreement acknowledgment from the parent.

Once added, parents can book classes on behalf of their children, and child-specific waivers, PAR-Q, and questionnaire responses are tracked separately.

Manage Cards

Students can view, add, and remove saved payment cards. Card details are stored securely via Stripe — only the card brand, last four digits, and expiry date are visible. Students can set a default card for future purchases.

Card management is per-studio. If a student is connected to multiple studios, they can select which studio they're managing cards for.

Notification Preferences

Students can manage which email notifications they receive, toggling individual categories on or off. On mobile, push notification preferences can be managed separately.

Wallet (Mobile App)

The wallet stores a balance that can be applied toward class bookings and purchases at checkout. On the mobile app, students can:

  • View their current wallet balance

  • Add funds via card payment

  • View their full wallet transaction history

If wallet funds are used during checkout, the balance is automatically deducted and the remaining total (if any) is charged to the selected card.


Chat (Mobile App)

Students can message their studio directly through the chat feature on the mobile app. The chat inbox shows all conversations, and messages are delivered in real time. Studios with the Chat feature enabled can respond from the studio dashboard.


Skills & Progress Tracking (Mobile App)

If your studio uses the Skills feature, students can view their assigned skill lists on the mobile app and see the status of each skill:

  • Upcoming — Not yet started

  • In Progress — Currently working on it

  • Achieved — Completed

This gives students a clear picture of their progress and what to work toward next.


Retail Shop (Mobile App)

If the studio has retail enabled, students can browse and purchase products directly from the mobile app. The shop includes:

  • Product catalog with descriptions and pricing

  • Shopping cart

  • Checkout with saved payment methods

  • Order history and order details

Orders can be set to require studio acceptance before processing, and pay-on-pickup may be available depending on the studio's settings.


Waivers & Agreements

Waivers are presented automatically during the booking process when required by the studio. Students must agree to proceed. Waivers can cover classes, memberships, packages, services, and general studio policies.

Pending waivers are flagged before checkout, and students can review and sign them at any time. Signed waivers are stored against the student's profile and can be reviewed by studio staff.


PAR-Q & Questionnaires

The PAR-Q (Physical Activity Readiness Questionnaire) is a short health screening form used to ensure students are ready for physical activity. If your studio has PAR-Q enabled, students will be prompted to complete it — either before or after their first payment, depending on the studio's settings. If marked as mandatory, it must be completed to continue booking.

The Goal Questionnaire is a short set of questions about the student's fitness goals and experience. It helps studios tailor the experience and track student progress over time.

Both forms can be configured separately for adult and child accounts.


Downloading the App

The Groovio student app is available on:

  • iOS — Download from the App Store

  • Android — Download from Google Play

The web app is accessible from any browser without installation and supports the full booking and account management experience.
