How Can I Adjust the Billing Date for My Groovio Membership?

Groovio users may need to adjust their billing schedule for various reasons. Here's what you need to know about changing, pausing, or restarting memberships to manage billing dates effectively.

Can I Change the Billing Date on an Active Groovio Membership?

Yes. Studio staff can change the billing day/date of an Active membership with Change Billing Day/Date. You don't need to cancel or repurchase the membership.

  1. Go to Manage Studio > Students and open the student's profile.

  2. Open the Memberships tab.

  3. Click Action beside the membership and choose Change Billing Day/Date.

  4. Pick the new Next Payment Date and click Save, then Continue to confirm.

Is It a One-Off Change or Ongoing?

Ongoing. Changing the billing date is not a one-off move of a single payment. The next payment moves to the new date, and every future payment is then calculated from that new date — the membership does not go back to its old billing day.

Example: a weekly membership is billed every Monday (next payment Monday the 5th). You change the next payment date to Friday the 9th. From then on it is billed every Friday: the 9th, 16th, 23rd, and so on.

Only wanted to move one payment? After that payment has been taken, use Change Billing Day/Date again to move the next billing date back to the original cycle (in the example above, set the next payment back to a Monday).

Things to know:

  • The membership's start date stays the same (it is shown greyed out in the window). Only the billing schedule changes.

  • The new date can't be before the start of the current billing cycle or after the membership's expiry date.

  • If you choose today, the payment is triggered straight away.

  • It can't be used in the membership's last billing cycle (when there is no further payment due).

  • The option only appears on Active memberships. It isn't available while a membership is paused or on Standby (payment owing).

  • If the membership has already been used to book classes, credits and weekly limits may no longer line up with the plan after the change, so review the student's usage first.

If the membership's start date itself needs changing after purchase, contact support.

Other Ways to Shift Billing

  • Pausing: A pause pushes the next payment later by the number of paused days (the pause end date counts as a paused day). The membership can't be used to book classes during the pause. See Handling Membership Pauses.

  • Choosing a start date at purchase: When assigning a new membership you can set a future start date (or back-date it). The next payment is then due one billing period after that start date.

Summary of Options for Managing Billing Dates

  1. Change Billing Day/Date: Permanently moves the billing day of an Active membership — the next payment and all later payments follow the new date. The start date doesn't change.

  2. Pausing Your Membership: Temporarily halts charges and stops access during the paused period while preserving your subscription. The next payment moves later by the pause length.

  3. Start date at purchase: Sets the billing cycle for a newly assigned membership.

By understanding Groovio’s policies, you can make informed decisions about managing your membership and billing preferences.
