Transfer students between classes

Class Transfer

The Class Transfer feature allows you to move a student's existing booking from one class to another. This is useful when a student needs to switch to a different time slot, instructor, or location — without cancelling and rebooking manually.


How to Access

  1. Go to Student Management and open the student's profile.

  2. Navigate to the Classes tab.

  3. Find the class you want to transfer and click the Actions dropdown on that row.

  4. Select Class Transfer.

The transfer option only appears for classes that are active or pending and have not yet started. You cannot transfer a class that has already taken place.


Step 1: Review the Current Class

The left side of the screen shows the student's current class details, including:

  • Class name, type, and duration

  • Day, time, and location

  • All scheduled dates (color-coded to indicate past, active, or cancelled sessions)

  • The amount the student originally paid

  • How the class was originally purchased (card, package, membership, etc.)


Step 2: Select the New Class

On the right side:

  1. Choose a Location — Select the studio location you want to search for available classes.

  2. Select a Date — A date picker appears once a location is chosen. Only future dates are available.

  3. The system displays all available classes for that location and date as cards, each showing:

    • Class name and price

    • Start and end time, and duration

    • Current booking count vs. capacity

    • Assigned instructor(s)

Click Select & Transfer on the class you want to move the student into.


Step 3: Review and Confirm the Transfer

A summary modal opens showing a side-by-side comparison of the current class (Transfer From) and the new class (Transfer To), including:

  • Class name, type, duration, and location

  • Scheduled dates, time, and room

  • Cost of the new class

Course Classes

If the new class is a course (term-based), a "Buy all classes of the course" option may appear. When checked, the student is charged for all remaining sessions in the term. When unchecked, the student is enrolled from the selected date forward only.


Payment & Price Difference

The system automatically calculates any price difference between what the student already paid and the cost of the new class.

New class costs more The student owes the difference. You can collect it using any of the following methods:

  • Card on file

  • Wallet balance

  • Virtual terminal

  • Gift card

  • Account credit

  • Humm / Afterpay / Zip Pay

  • Square

  • Venmo

  • Other

New class costs less The difference is shown for reference. No automatic refund or wallet credit is issued — any outstanding amount must be settled manually outside the system.

No price difference The transfer proceeds at no charge and the button will read Nothing to Pay.

Memberships & Packages

If the student originally purchased the class through a membership or package, the same membership or package must be applied to the new class. Available memberships and packages are shown as selectable options in the summary modal. If none are eligible, a manual payment method will be required instead.


Add a Note

An optional Add Note field is available at the bottom of the summary modal (up to 100 characters). Use this to record the reason for the transfer or any relevant context.


Completing the Transfer

Once all selections are made and any payment is handled, click Complete Payment (or Nothing to Pay if no charge applies) to finalize the transfer.

After completion:

  • The original class is marked as Transferred From in the student's class history.

  • The new class is marked as Transferred To.

  • Both entries are linked so the full transfer history is visible at a glance.

  • An activity log entry is created with the details of the transfer.

  • The student may receive an email notification depending on your studio's notification settings.


Restrictions

A class transfer cannot be completed in the following situations:

  • The class has already started or taken place.

  • The target class is fully booked.

  • The target class session has been cancelled or deleted.

  • The student has an outstanding partial payment on the current class.

  • The student has active make-up credits linked to the current class that would be affected.


Transfer History

In the student's Classes tab, transferred classes are clearly tagged:

  • Transferred From — The original class the student was moved out of.

  • Transferred To — The new class the student was moved into.

These tags appear in both the class list and the student's activity log, giving you a clear record of all transfers.
