Customising the Check-in module

This article explains how to configure the check-in module, check-in form, check-in email as well as the welcome and confirmation screens.

This article explains how to configure the check-in module, including the check-in form and check-in email as well as the welcome and confirmation screens.


Add a new question

  1. Go to Check-in > Check-in form.

  2. Click on the Add button.

  3. Choose type — select a question type from a range of preset or custom questions (Learn more: Check-in form: questions and answers).

  4. Enter your question in the Question text field (or edit the template question if needed) and complete any other fields related to the question type you are adding.

  5. Enter the custom translations of your question into each of the active language tabs.

  6. When ready, click on the Save changes button — this will also return you to the form, where you can then reorder the question, if required.

💡 Note:

  • If you do not enter custom translations for an active language, any guest using that language (if their language is known) will see the question in your default language.

  • Your default language is in Settings > General > Localisation > Default language.

  • To make a question mandatory, under Validation, tick This question is mandatory.

➕ Example:

Here is how to create and customise a Drop-down question:

  1. Enter your question into the Question text field.

  2. Enter the custom translations of your question into each of the active language tabs.

  3. Click on Add choice to add the answer options that the guest can select.

  4. To make the question mandatory, under Validation, tick This question is mandatory.

  5. To pose this question to additional guests in room shares, under Additional options, tick This question should be asked of all guests, not just the main guest..

  6. When ready, click on the Save changes button — this will also return you to the form, where you can then reorder the question, if necessary.

⚠️ The Preset and Field type fields are read-only and only shown for reference. If you add the wrong question type, it cannot be modified, but you can delete the question and add a new one.

Rearrange the order of questions

Drag and drop the questions to rearrange their order.

Delete a question

To delete a question, click on the question's Edit button, followed by the Delete button (at the bottom of the page).

Specify guests’ preferred time slots

You can ask guests to specify their preferred time slot(s) for their breakfast, leisure, transfer, etc — just create a drop-down box and add the available time(s).

Confirm guests’ email addresses

Some booking channels mask guests’ email addresses, but if necessary, you can ask guests to provide their email addresses via the Check-in form. However, do not use a custom question for this — instead, use the Email question under Preset questions; it can assess if the email address entered is valid.

Improve your marketing

You can also ask guests why they are staying with you, then use their feedback to not only improve your property’s marketing, but also upsell to guests.

Add guests to your mailing lists

If you ask the guest to provide their email address, you can also ask them to opt in to your promotional and marketing emails — simply click on Add > Radio buttons.

Customise the check-in Survey greeting text and Survey completion text

When a guest clicks on the Check in button, the first thing they will see is the check-in Survey greeting text.

Then once they submit the Online check-in form, they will see the confirmation screen which includes the check-in Survey completion text.

To modify the check-in greeting and completion text , go to Check-in > Settings > Languages tab, enter your messages into the Survey greeting text and Survey completion text boxes, and if necessary, add your translations into each active language tab.

Add your property's logo to the welcome text

To add your property’s logo to the welcome text, go to Settings > General, scroll down to Appearance, then under Logo, choose the file you want to upload.

💡We recommend uploading your logo according to he recommended guidelines (as explained in the image below).

Customise the Check-in confirmation email

When a guest submits their Check-in form, they will receive a confirmation email like the one below.

The subject line (1) and initial message (2) can be customised by going to Check-in > Settings > Check-in confirmation email tab and modifying the text in each active language.

Test the Check-in form

Once you have completed the steps above, we recommend testing the Check-in form to preview what it will look like from a guest’s perspective.

  1. Go to Guests > Add guests.

  2. Complete all reservation details fields and click on the Add guest button.

  3. A Guest profile will appear — on this page, click on the ellipsis (...) in the top right of the Guest information panel and select Check-in form.

  4. You will be redirected to the check-in form, where you can check it from the perspective of a guest.
