Use HandsHQ in Spanish: more languages coming soon!

Summary

You can now set a division’s interface language to Spanish, with more language options coming soon. All interface elements, so buttons, the system itself, emails, exports, and reports are translated automatically. The RAMS documents, and any content generated by a user, will not be translated but can be added in the desired language.

Who can use this feature?

  • 🏢 Plans:

    • RAMS plans: all Medium Team plans and above

    • Training Register: Standard plans and above

  • 🧑‍💼 Admins: Account and division admins can change the language setting

  • 👷 Users: All users within a division will see the interface in the language set by their admin

Language and option currently available

  • Spanish: translated interface, emails, exports and reports.

  • Division-level translations: the translation is done on the division-level, any user accessing the translated division will see it in the selected language.

Key details

  • The language setting is division-specific. Different divisions can use different languages.

  • Content (i.e. RAMS wording, notes etc.) is not translated

  • When the language is changed, existing document versions remain in the previous language. New versions of documents will use the new language.

Who is this available for and what is required

  • Account and division-level admin: can enable it in Settings > Business details

  • Configuration: requires your account manager to enable feature on request. Might involve additional data migration to set up translated content libraries, as content isn’t translated.

  • Divisions: There is no limit to how many divisions your can choose to translate, but you might have a limit on the number of divisions on your plan.


How to change your division’s language

To set the language for your division:

  1. Go to Settings ⇒ Business details ⇒ Localisation

  2. Select your preferred language from the dropdown menu

  3. Scroll down and click Save

Once saved, all users in that division will see the interface in the selected language.


What is translated?

When you change your division’s language, the following are translated:

  • All interface elements: navigation menus, buttons, labels, form fields, and system messages

  • Emails: approval requests, digital signature requests, reminders, and other automated notifications

  • Reports and exports (excluding users-provided content e.g. training notes, document titles)

What is not translated?

💡 Important: This feature translates the HandsHQ interface and system-generated messages only, NOT the content of your documents.

RAMS customers

The RAMS content, i.e. what you see on the final RAMS PDF (risk descriptions, sequence of operations, custom content libraries, etc.) is not automatically translated. This is regardless whether you’re using the standard HandsHQ RAMS/CPP library, or have your own custom content.

As this feature is available on the Medium Team plan and above, most eligible customers already have a custom content library, which will need to be translated.

To have the RAMS itself in Spanish, or any other language, you will need to create a separate, translated content library/Risk Register, and upload it into the relevant division.

Please speak to your account manager for further configuration and data migration advice. You might need to set up a new division and a new content library to support a full end-to-end translated setup.

Training Register customers

User-provided content, such as booking notes training notes, course and role names are not translated.
