Overview
The new RAMS viewer permission lets you grant read-only access to RAMS. Users with this permission can view, search, and download the RAMS in their division, but can't create, edit, or delete anything.
This is ideal for:
Operatives and site teams who need to reference the latest RAMS on the job
Teams using the risk register for static risk assessments who just need to log in and see the documents
Any colleague who needs visibility of RAMS without edit access
Who can use this feature?
Plans: Available for customers with a RAMS subscription on the following plans: all Teams and Enterprise plans, and the Pro individual plan.
Admins: you have to be an account or division admin to manage users.
💡RAMS viewers are unlimited and do not count towards your paid user allowance.
What can a RAMS viewer do?
A user with the RAMS viewer permission can:
View all RAMS in their division, including archived RAMS
Search, sort, and filter the RAMS list
Customise table columns and reset them to default
Preview, email, and download RAMS
Download COSHH documents
View the Activity tab and download items from it
View folders and the RAMS within them
View their own Profile page in Settings
What can't a RAMS viewer do?
RAMS viewers have no edit access anywhere in RAMS. They cannot:
Create, edit, delete, archive, or restore RAMS
Add or remove personnel on a RAMS, request signatures, or send reminders
Submit RAMS for approval, or approve them
Upload, delete, or reorder additional documents
Add or delete COSHH
Create, rename, or delete folders
Export the RAMS list via CSV
Be selected as a RAMS reviewer when scheduling the next review
How to assign the RAMS viewer permission
Head to Settings > Users
If you have multiple divisions, you need to be in the main division 🏠
Go to your users list and click Add user, or open an existing user
In the permission matrix, tick RAMS viewer for the relevant division
Save changes
Note 💡
If a user has RAMS editor or RAMS approver selected, RAMS viewer is automatically included - anyone who can edit or approve RAMS can already view them.
How this affects your user allowance
RAMS viewers are unlimited and free. The banner at the top of your users list only counts regular app users - RAMS viewers are never included in this count.
This means you can add as many RAMS viewers as you need. If a user is later given a higher permission (for example, RAMS editor), they'll start counting towards your regular user allowance instead.
What about existing users?
Nothing changes for your current team. All existing users keep exactly the permissions they have today - if someone was a RAMS editor, they remain a RAMS editor.
