How to use In-Person Signatures

Sign your RAMS digitally on any device, without needing to send an email. Great for signing documents on site in one go without a printer.

Digital signatures: In-Person signing

Customers with the Digital Signatures feature can get signatures from personnel on a project in two ways:

  • Email: Send RAMS via email to accept and sign the document

  • 'In-Person': a new way of signing documents for personnel without an email on their profile, directly in person on site, verified through a photo

The in-person signatures are useful if operatives turn up on site and haven't signed the latest version of your RAMS, or perhaps there were some last minute changes to staff. This way, your personnel can sign RAMS on a tablet without them needing an email address.

1. Request signatures

  • Add personnel to your project as usual

  • Click ‘Request Signatures’ on the top right (if missing, you might not have the feature enabled)

The status will be either 'Sent' or 'Unable to send' (email missing from personnel profile). For those who have an email attached to their profile, they'll be able to sign via email as well.

2. Sign in person

Once requested signatures, you can use the sign in person for any personnel on the project.

  • Under Actions, click the three dots ... > and select 'Sign now' from the dropdown

  • Hand over your device to the personnel signing, they can read through the document > Accept

  • Sign in the box on the device and take a photo using your device’s camera so there is a record that it was in fact them

The photo will only be on display online, for you to view, and the signature will display on the document.

In-Person signatures allow you to capture all the signatures for the site using one device. Please contact us to find out how to take advantage of this feature.
