How to create a program in Harbiz

Programs in Harbiz allow you to structure and schedule different types of content for your clients, making it easier to track and organize their workouts, sessions, and other activities. They are ideal for planning exercise routines, nutritional coaching, online sessions, or any progressive content you want to offer.

Below, we’ll guide you step by step on how to create a program in Harbiz and customize it according to your clients' needs.

1. Access the programs section

To create a program, follow these steps:

  1. Go to the "Library" tab in the top menu of Harbiz.

  2. Select "Programs."

  3. Click on "+ Create Program."


2. Configure program details

On the program creation screen, you will find the following fields:

  • Name: Enter a name to identify the program (clients will not see this field).

  • Description: Add a short description to remember the program’s purpose.

You can also enable the following automations:

  • Linked Program: Allows another program to start automatically once this one is completed.

  • Archive Client: Restricts client access once they finish the program.


3. Add Content to the Program

Harbiz allows you to organize program content by weeks and days:

  • In the "Program Content" section, you'll see the structure of weeks and days.

  • To add more weeks, click on "+ Add Week" as many times as needed based on the program’s duration.

  • To add content to a specific day, click the "+" button within that day.

A window will open where you can select the type of task you want to add.

Available Task Options:

  • Workout

  • Cardio

  • Video

  • Nutrition

  • Track Progress

  • In-Person/Online Session

  • Scheduled Message

  • Form

You can combine multiple tasks within the same day to provide a comprehensive experience for your clients.


4. Save and assign the program

Once you have completed the program planning, you can save it and assign it to your clients.

4.1 Assign the Program

To assign a program to your clients:

  1. Go to "Library" > "Programs".

  2. Find the program you want to assign.

  3. Click on the three dots (...) next to the program.

  4. Select "Assign".

  5. Choose the program start date (the day the client will begin).

  6. Select how to assign clients:

    • Manually: Select each client individually.

    • By Tags: The program will automatically be assigned to all clients with the selected tag.

  7. Click "Assign Program" to complete the process ✅.

🚨 Important: Day 1 of the program is adjusted based on the assignment date for the client. This means that if the program is assigned on a Thursday, that day will be considered Day 1 for the client.


4.2 Unassign a Program

If you made a mistake when assigning a program or need to change it, you can unassign it by following these steps:

  1. Go to "Library" > "Programs".

  2. Find the program you want to unassign.

  3. Click on the three dots (...) next to the program.

  4. Select "Unassign".

  5. Choose the date from which the program will be removed:

    • If you remember the assignment date, select the same date.

    • If you don’t remember the date, choose a past date to ensure proper removal.

  6. Select how to unassign:

    • By client name: The program will be unassigned from specific clients.

    • By tags: The program will be removed from all clients with the selected tag.


5. Update a Program After Making Changes

If you edit an existing program, it's important to save the changes correctly.

Steps to Update a Program

  1. Go to "Library" > "Programs".

  2. Select the program you want to modify.

  3. Make the necessary changes to the program content.

  4. Click on "Save Program".

  5. A pop-up window will appear asking how you want to update the program:

    • Update for Everyone: The changes will apply to both the clients who already have the program assigned and the version in the library.

    • Update Only in Library: Only the program template in the library will be updated, without affecting clients who already have it assigned.
