You can communicate with Hiring Managers using Group Chats in a vacancy portal and you'll both receive notifications in real-time.
How to View Group Chats
Recruiters View
The Group Chat function is displayed on the right-hand side of your portal. Each chat is specific to a candidate. Conversations can be opened and minimised using the arrow icon at the top of the chat box.
Hiring Manager View
Hiring managers can open a chat about a candidate in two different ways. Per the image below, they can:
Click 'View Details' on the candidate.
Select the candidate in the chat shown on the right-hand side of the AssistCV Portal.
Only active candidates will have chats available and when selecting a candidate to discuss, their profile will show on the main screen alongside the chat.
Managing & Editing Group Chats
After you send a message, it'll show as 'Sent' along with the time and date. To see who has viewed your message, hover over the check icon at the bottom of the message.
Note: If a specific vacancy portal is already open at the time a message is sent, it will automatically show in 'Seen By'.
Editing & Deleting Messages
If you send a message too soon or there's a typo (hey, we've all been there) you can edit or delete your message by clicking the "..." on the left-hand side of your message.
Note: Other members of the chat won't be able to see the message after deletion but will see 'Message Removed' or '(edited)' to indicate the change.
Emojis
Emojis are available within chats and can be browsed by choosing the emoji icon on the right-hand corner of the chat box.
Who Can See the Group Chats?
Everyone who has accessed the vacancy portal will be able to see the chat, as well as the recruiter who created it. You can see the name and details of everyone who can see the chat under 'Chat Users' found in the bottom panel of the chat section. Hover over a chat user to see their details including their first name, email address, avatar and a 'last seen' time stamp. A green circle next to a user indicates that they're currently online.
Notifications
If you're logged in to AssistCV and have a vacancy portal open and you have unopened messages, this will be shown in red at the top right-hand corner.
If you're not logged in and there are unread messages, you'll receive an email notification telling you how many messages you have and against which candidates.
Your Hiring Managers will also receive a notification, which includes a direct link to the portal.
Note: Hiring Managers will receive a notification after five minutes of Group Chat inactivity while you'll receive one after 60 seconds of inactivity.
Updating Details & Notifications
The details you've saved in your AssistCV account will be shown to your Hiring Managers and you'll see their info. They can update their details and can add a profile image by clicking on the settings icon next which appears to them at the bottom of the chat window, as shown below.
Hiring Managers can also amend their notification settings in this section by clicking to 'Mute chat notifications' or 'Unmute chat notifications'. If a Hiring Manager has chosen to mute chat notifications, you'll receive an email notification to let you know. If a Hiring Manager turns their notifications back on, you won't be notified of this but you will see that they're active again when you access the portal. Plus, you'll receive notifications if they add comments.
Group Chats Notes Sync
All chats will sync back to your notes within Bullhorn by default. This can be switched off (and back on again) by Admin users from the Admin Dashboard. More on that here >>
