In this article, we explain all the components that make up a vacancy portal in AssistCV. By default, it will always automatically load on the main dashboard screen which is where most of the main elements are. We'll talk you through these below but first, let's cover your menu options.
Note: Account set-up and management, including branding, license and user management and company-wide AssistCV for Bullhorn settings, are managed by Admin users from the Admin Dashboard. More on that here >>
Your Menu
The menu is located on the left-hand panel of the main portal screen. It comprises the following options, which are covered in more detail in separate articles linked to below.
On the top right-hand side of the main dashboard screen, you'll see you also have the option to:
re-take the in-product tour, shown when you first logged in.
change the screen display between light and dark mode.
access the Knowledge Base.
update your profile.
Your Toolbar
The toolbar is located on the top right-hand side of your portal, per the image below.
Your toolbar options allow you to:
Add applicants to your AssistCV vacancy portal - By default, any applicants attached to a vacancy you have in Bullhorn will be pulled through automatically when you first create your vacancy submission in AssistCV. However, this toolbar option allows you to add others. Find out more about shortlisting candidates inside the portal here >>
Send a client update: This option is only available when your portal is published and gives you a quick way to message a client from inside AssistCV. It could be to let them know the portal is published for the first time or to let them know about any updates you've made. The email address of your client(s) will pull through from the company contact list against the client in Bullhorn and, on sending a message for the first time, the status of your active candidates will be updated to 'CV Sent' in Bullhorn.
Here's a copy of the message your clients will receive.
The message you input in AssistCV will replace the {{message}} tag.
Copy invitation: This option gives you an alternative option for sending your portal to your clients. Click this to copy a link to the vacancy portal, a password and some content that you can update in an email before sending it. This will also mark the active candidates as 'CV Sent' in Bullhorn the first time you send it.
Preview: Use the preview button to see what your Hiring Managers will see when accessing your portal. Note: This URL is not sharable.
Publish/Unpublish: Next up is the Publish/Unpublish button. Only published portals are visible to Hiring Managers. Note: Publishing a vacancy portal doesn't send anything to your Hiring Manager and also doesn't change the candidate's status in Bullhorn. You have to send it using one of the two options described above.
Logos
Your Logo
Your company logo appears on the top left and is managed at a company-wide level by your appointed Administrator(s). You have the option to hide it within the settings menu on a case-by-case basis too. Read this article for more info >>
Your Client's Logo
Client logos are managed on a case-by-case basis. You'll see you have the option to upload and delete a client's logo from the top right-hand side of your portal, in the area directly underneath the toolbar.
Note: Logos should also be uploaded with a transparent background. You can upload the following file types at a recommended file size of up to 5MB - jpg, jpeg, png or gif. Images will automatically adjust to fit the set height. Where possible, an aspect ratio of 3:1 works best.
Portal Title
This will pull through from Bullhorn automatically based on the job vacancy title but can be edited by clicking in the box. Updates to this in AssistCV portal will not sync back to Bullhorn.
Job Description
This will also pull through from Bullhorn automatically based on the published description but you can edit this in AssistCV by clicking in the box. Again, updates to the AssistCV portal description will not change the published description in Bullhorn.
Group Chat
There's a Group Chat function on the right-hand side of the page. This allows you to instantly message Hiring Managers about candidates and all chats sync back to Bullhorn. This can be turned off from the settings tab if you don't want it to be included in a portal you're sending. Find out everything you need to know about Group Chats here >>
