How to connect viaim earbuds to a mobile phone and computer

Getting Started: Connecting Your viaim Earbuds

After downloading the dedicated viaim mobile app, you can proceed to pair your earbuds with your phone and connect them to the App.

Currently, viaim offers four earbuds models: RecDot, OpenNote, Nano+, and Air.


The pairing button for RecDot and OpenNote is on the outer side of the charging case; The pairing button of Nano+ is on the inside of the charging case.

Step 1: Prepare Earbuds for Pairing

RecDot/OpenNote

  • Open your phone's Bluetooth settings;

  • Open the charging case lid;

  • Press and hold the Multi-function Button on the case back for 3 seconds

  • The indicator light turns white and flashes, indicating the earphones are in pairing mode.

Note: Before putting OpenNote into pairing mode, please ensure that the protective film on the earbuds' pin connectors has been removed.

Nano+

  1. Place both earbuds into the charging case.

  2. Press and hold the function button inside the case until the indicator lights begin alternately blinking, indicating the earbuds are in pairing mode.


Step 2: Connect via Bluetooth

Open your device’s Bluetooth settings, select your earbuds model (e.g., viaim RecDot), and tap to connect.

After the earbudss are connected to your device via Bluetooth, you can use them to listen to music or watch videos as usual.

Step 3: Connect to the viaim App

To access features such as transcription, translation, and AI-powered summary generation, you will need to connect your earbuds to the viaim mobile app.

After pairing the earbuds with your phone via Bluetooth, open the viaim app and tap the button in the top-left corner to complete the connection.

Please Note: The earbuds can only be connected to the viaim app on mobile devices. If the earbuds are temporarily unable to connect to the app, try force-closing and reopening the app. Repeating this a few times will typically resolve the issue.


Device Binding

After updating the app to the latest version, the app will automatically detect the binding status of the connected device.

The primary purpose of device binding is to ensure consistency between the device and your account, safeguarding the security of your data assets.

If the device has not yet been bound to an account, it will be automatically bound to your account upon connection. Once binding is complete:

  • If you are a new user, Basic plan access will be automatically activated for your account.

  • If you have previously subscribed to a paid plan (e.g., Pro or Ultra), your existing subscription will remain active and continue to apply.

If you wish to use the device under a different account, the app will prompt you to unbind it from the current account before it can be bound to the new one.

Note: Even without viaim earbuds—which means the free Basic plan and hardware recording features will be unavailable—you can still subscribe to the Pro or Ultra plan to upload external audio files for transcription, translation, and AI-powered features.


Unbinding Your Device

To view all devices currently bound to your account, check device serial numbers, or unbind a device, navigate to Me → My viaim Device.


Unbinding a device triggers a security wipe mechanism that permanently erases all FlashRecord files stored in the earbuds' onboard memory.

Please ensure that all important recordings have been synced to the viaim app before proceeding with the unbinding process.



Restarting and Resetting Your Earbuds

Restarting the earbuds

If your earbuds aren’t functioning as expected, please follow the steps below to restart them:

Place the earbuds in the charging case, close the lid, wait for at least 10 seconds, and then try reconnecting.

Resetting the earbuds

If your earbuds still aren’t working properly after restarting, you can choose to reset them to restore factory settings.

  • Go to your device’s Bluetooth settings and forget the earbuds.

  • Place both earbuds in the charging case, close the lid, and wait for at least 30 seconds.

  • Open the charging case, then press and hold the multifunction button on the back of the case for more than 10 seconds. The indicator light will turn on, then off, and finally start breathing white—this means the reset is successful.

  • The earbuds will now automatically enter pairing mode. Go back to your device and select the earbuds from the Bluetooth list to reconnect.
