Update a person’s employment terms

Update employment terms when a person changes employment type, contract, work arrangement, or place of work. Humaans saves each change with an effective date, so you can apply a change today, schedule it for a future date, or edit an earlier entry.

To learn what each field records, visit Employment terms.

Before you begin

  • Updating employment terms requires permission to manage them. To learn more, read Permissions for editing employment terms.

  • Each person can have only one employment terms entry for a given effective date.

  • Contract types come from a list your company manages. If the contract type you need isn't available, an owner or admin can add it.

  • The list shows only contract types that match the selected employment type. To learn more, visit Manage contract types.

Change an employee's terms

To edit an employee's terms in their user profile:

  1. Open the person's profile.

  2. Click Employment.

  3. In the Terms card, click Update.

  4. Select Employee or Contractor in Employment type.

  5. Select a Contract type. The list shows only contract types available for the selected employment type.

  6. In Work arrangement, select if the employee is Onsite or Remote.

  7. Complete the place of work fields. For the steps, see Set an onsite or remote place of work.

  8. Leave a note if necessary.

  9. Select an Effective from date. To apply a change in the future, schedule it for a later date.

  10. Click Save.

To edit a past or upcoming employment terms entry, visit Edit an existing entry.

Set an onsite or remote place of work

The place of work fields change with the work arrangement.

For onsite work:

  1. Select Onsite as the Work arrangement.

  2. Select an office from Place of work dropdown.

For remote work:

  1. Select Remote as the Work arrangement.

  2. Enter the city.

  3. Select the country.

To use the address on the person's profile, click Use home address. This button appears only when the person has a home address and you have permission to view it.

To enter a street address, state, and postcode, switch to the full address form. The full address form is available only to people who can manage place of work.

To associate a remote person with an office, enable Assigned location, then select an office.

Schedule a change for a future date

To apply a change on a later date, such as a planned move from contractor to employee:

  1. Follow the steps in Change an employee's terms.

  2. In Effective from, select the future date.

  3. Click Save.

The current terms stay in effect until the effective date. An Upcoming badge on the Terms card shows the scheduled change.

Edit an existing entry

To edit an existing employment terms entry in an employee's profile:

  1. Open the person's profile.

  2. Click Employment.

  3. In the Terms card, click View timeline.

  4. Click the three dot icon, followed by Edit.

  5. Select Employee or Contractor in Employment type.

  6. Select a Contract type. The list shows only contract types available for the selected employment type.

  7. In Work arrangement, select if the employee is Onsite or Remote.

  8. Complete the place of work fields. For the steps, see Set an onsite or remote place of work.

  9. Leave a note if necessary.

  10. Select an Effective from date.

  11. Click Save.

When updating terms on a date that already has terms, the following message will display “Terms with the same effective date already exist and will be replaced." Humaans updates the existing entry rather than creating another. If you save with any other date, Humaans adds a new entry and keeps the earlier entries as history.

Delete an existing entry

To remove an employment terms entry, the employee must have more than one entry in their timeline.

  1. Open the employee's user profile.

  2. Click Employment.

  3. In the Terms section, click View timeline.

  4. Click the three dots icon beside the entry you want to remove.

  5. Click Delete.

  6. Click Confirm and delete.
