Introduction
The Attachment Management page allows users to organize, upload, and manage attachments associated with various instruments and station groups. It includes features for creating directories, uploading files, and navigating a structured file system.
The main functions are:
Manage (view / rename / delete) any uploaded attachments within this project.
Create a new directory for file storage hierarchical structure.
Upload any attachments to be configured/used in this project (e.g. project documents for instruments / Station-groups; any explanatory document).
To access this page: Click on the top left corner to open the side bar, click on ‘Settings’ - 'Files and Attachments' - 'Attachments Management' to access the page.
An Overview of each section on the Attachment Management page:
Navigation Panel: File hierarchical structure to show the file storage folders (categorized in folders of instruments, Station-groups, PTT IM Registry, Auto Report Jobs).
Main Panel: All attachments will be shown on this panel, for viewing and managing.
Search Bar: Search for attachments by entering the name.
Action Bar: Make actions to any selected attachment.
1. Navigation Panel - Hierarchical File Structure
The navigation panel on the left displays a hierarchical file structure. Users can browse through directories for:
Attachments: Top-level directory for managing files.
Instruments: Contains subfolders named by all instrument types in this project (e.g., "Disto Displacement Sensor (Triangulated)", "Tiltmeter (TILT)".), and contains sub-subfolders named by different instrument names under the corresponding instrument type subfolder, if applicable (e.g. “18234 – C3 – 1501 – SMP_02B”).
Station Groups: Contains subfolders named by different station group types in this project (e.g., "Angular Distortion Group (ADPG)"), and contains a sub-subfolder named by different station group names created in this project, if applicable (e.g. “C2 SW Culvert(AD-VD) Group-1”).
PTT IM Registry: Contains subfolders named by different PTT ID + their package names (e.g. “J179 20240722 – C2 PTT M110 H2”). All the PTT packages created within this project will be auto-displayed as different subfolders.
Auto Report Jobs: Contains subfolders named by all report automation job names in this project (e.g. “C2 Caverns Daily Reports (Surface)”). All the report automation jobs created within this project will be auto-displayed as different subfolders.
2. Main Panel – Viewing Attachment List
The main panel displays the contents (attachment list) of the selected directory, including:
File Name: Name of the file or subfolder.
Date Modified: The last modification date.
File Size: The size of the file (if applicable).
3. Search Bar – Steps for Attachment Searching
The search bar at the top allows users to quickly locate files or directories.
Step 1: Enter the name fully or partially of the file or directory in the search bar.
Step 2: Press "Enter" on the keyboard or click the search icon.
Step 3: Results will be displayed in the main panel. The fields contain the following information:
Name: display the full name of the attachment
Folder: display the folder path of this attachment
File Size: show the size of the file
Field ID: show the ID of this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser '
' to the search result table.
Uploaded On: show the date and time when the person uploaded this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser '' to the search result table.
Uploaded By: show the email address of the person who uploaded this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser '
' to the search result table.
Step 4: Clicking on Cancel button to return to the hierarchy folder structure if necessary.
4. Steps to Create Directory
This section allows users to create a new folder within the selected directory.
Step 1: Expand / collapse main folders using the arrow next to each directory.
Step 2: Click on the folder / subfolder you wish to add new directory under.
Step 3: Click the "New Directory" button.
Step 4: Enter the name of the new folder in the dialog box.
Step 5: Click “Save” to create this directory under the selected folder.
5. Steps to Upload Attachments
This section enables users to upload files to the selected directory.
Step 1: Expand / collapse main folders using the arrow next to each directory.
Step 2: Click on the folder / subfolder you wish to upload new files.
Step 3: Click the "Upload Files" button.
Step 4: Select files from your device.
Step 5: Click "Open" to upload the files.
Step 6: Check if the file has been uploaded to the main panel under the correct folder, by hitting the refresh button to refresh the page.
Example: Upload a project information file to the instrument ‘AEC-SF400-SG-02’, which instrument type is VWSG:
Step 1: In the navigation bar, find and expand the ‘Instrument’ folder, navigate to ‘Vibrating Wire Strain Gauge (VWSG)’ sub-folder, and click on ‘2515- AEC-SF400-SG-02’ sub-subfolder.
Step 2: Click on ‘Upload file’ button at the top of the page, select the file from your local device, and click on ‘open’ to upload it to the main panel.
Step 3: Check the main panel and see if the file has been uploaded successfully. Click on refresh button ‘’ if necessary to update any changes.
6. Other Methods to Upload Attachments apart from Attachment Management Page
The attachments can be uploaded in many other pages other than the Attachment Management page, and the Attachment Management page acts as a control centre for all the uploaded Attachments. Contents below give a few examples of where to upload the attachments:
1) Upload Attachments for an instrument
Click the left top corner the setting icon ‘
’ to show the setting panel. Click on ‘Instrument’ tab to open the subtab list, and click on ‘Instrument’ sub-tab.
Use the Filter function at the top section of this page, use the filter function to filter and select an instrument, by filtering the category and/or instrument type to which the instrument belongs or enter the instrument name in the Instrument Search box. Click the instrument name in the Instrument List box and it will appear in the Selected Instruments list box. Tick to select the instruments in the Selected Instrument List box. Click Load to load the selected instruments onto the page for review.
In the ‘Instruments INIT’ section at the bottom of the page, tick the instrument INIT record, and click on ‘Upload
’ button at the right top of the section to open up the Upload function. In File Type, please select ‘Instrument Attachment’ to upload any project documents that relates to this instrument.
In this way, the uploaded attachment will appear in the same folder on the Attachment Management Page (e.g. In the folder ‘Instrument’, sub-folder ‘XY-Z Survey Prism (XYZ)’, and sub-subfolder ‘BM_039_01B’).
2) Upload an attachment for a Station-Group:
Click the left top corner the setting icon ‘
’ to show the setting panel. Navigate to ‘Setting – Station Group – Grouping’ page.
Tick the desired station group that you want to upload the attachment for.
Click on the ‘Upload
’ button at the right top corner to open up the Upload function.
In File Type, please select ‘Station Attachment’ to upload any project documents that relates to this station group.
In this way, the uploaded attachment will appear in the same folder on the Attachment Management Page (e.g. In the folder ‘Station Group’, sub-folder ‘Central Settlement Longitude Section (CSLNG)’, and sub-subfolder ‘5-mn’).
3) Upload an attachment for an Auto-report job:
Click the left top corner the setting icon ‘
’ to show the setting panel. Navigate to ‘Setting – Automation – Auto Report Settings’ page.
Click on an existing report automation job in order to upload the attachment to this job.
Click on the ‘Automatic Report Distribution’ tab to display the auto-report distribution table.
Tick on an existing distribution set in the table and click on ‘Edit’ button to open up the edit side window.
At the bottom of the edit side window, please click on ‘Upload ’ button to upload the attachment.
In this way, the uploaded attachment will appear in the same folder on the Attachment Management Page (e.g. In the folder ‘Auto Report Jobs, sub-folder ‘STM-TU100-17222 17252 TFCV Reports’).
7. Steps to View Attachment Content and take Actions (Rename / Delete / Download)
It enables users to view the attachment list in a folder and make actions (Rename / Delete / Download) on the selected attachment. The detailed instructions are shown below:
1) View an Attachment
1. Expand / collapse main folders using the arrow next to each directory and navigate to the folder that you want to view.
2. Click on the folder / subfolder to view its contents in the main panel.
3. Double click the attachment, and a pop-up window will show the file contents.
2) Rename / Download / Delete an attachment
Expand / collapse main folders using the arrow next to each directory and navigate to the folder that you want to view.
Click on the folder / subfolder to view its contents in the main panel.
Tick the box at the left side of the attachment item, the action bar will be displayed with the options of download, rename, delete, and clear selection. Alternatively, click on the three dots button ‘
’ at the right side of the attachment item, to make the actions of rename, delete, refresh, download.
Download: to download the selected attachment and read offline
Rename: to rename the selected attachment with a desired name to be displayed in this list
Delete: to delete the selected attachment permanently
Clear selection: untick the box to un-select the instrument.
Refresh: to refresh the main panel. The refresh button reloads the current directory to reflect recent changes.
8. Best Practice
Use descriptive names for files and folders to facilitate easy navigation.
Regularly review and delete outdated files to maintain organization.
9. Troubleshooting
1) Unable to Upload Files:
Solution: Check file size and format. Ensure you have write permissions for the selected directory.
2) Missing Files:
Solution: Use the search bar to locate the files. Verify you are in the correct directory. Please contact project administrator for advice.
3) Unable to Create Directory:
Solution: Ensure you have the necessary permissions.
