Manage and Upload Images to be used in Projects

Introduction

The Images Management module in Geosens provides a central repository for all images related to a project. To organize images by folders, upload new images, and link instrument-specific images directly to the corresponding instruments in the system.

To access this page: Click on the top left corner to open the side bar, click on ‘Settings’ - 'Images Management' to access the page.


1. Page Layout

  1. Project Abbreviation Name

    • Displays Abbreviated project name at the top.

  2. Search Bar

    • Allows you to find files or folders by name or keyword.

  3. Upload Files Button

    • Click to open a dialog for uploading new images from your local computer.

  4. Navigation Panel

    • Shows folders like Instrument Images, Location Maps Images, Thumbnail Images, etc.

    • Clicking a folder updates the Main Panel to show that folder’s contents.

  5. Main Panel (File Browser)

    • Displays files and subfolders within the selected folder.

    • Columns typically include Name and Date Modified.

    • Click on a file to view its details or preview it (if supported).


2. Navigation Panel - Hierarchical Image Folder

2.1 Introduction & Purpose of each Image Folder

The navigation panel on the left displays a hierarchical image file structure. Users can browse through directories for:

1) Images:

The main image folder contains subfolders for organizing various types of images used in this project. For example, project Logo, company Logo, project displaying background, etc.

2) Location Maps Images:

Subfolders within the "Instrument" and "Station Group" directories are dedicated to storing images related to location maps. These folders will be automatically generated by the system and named by each instrument / station-group name, based on the instrument or station group available within the project.

For example, the "Station Group" folder is structured by station group types, with each type containing subfolders for individual station groups. Users can upload location maps specific to each station group within these subfolders. These maps can then be exported along with reports for location identification and other purposes.

3) Tunnel Profiles:

Subfolder containing images related to tunnel profiles used within this project. Upload the tunnel profile images to this folder, to get it available and selectable when selecting the sketch image in the Tunnel Sketch Page.

4) Thumbnail Images:

Subfolder for storing thumbnail versions of images for easy preview and management. Those images will be available and selectable when selecting the thumbnail image in the Project Info Page.

5) Instrument Images:

Contains subfolders named by different instrument types in this project, with further subfolders for individual instrument names, if applicable (e.g., "Disto Displacement Sensor (Triangulated)", "Tiltmeter (TILT)").

Images can be uploaded to the specific instrument-type and instrument-name subfolders. This allows the images to be associated with their respective instruments for reporting and informational viewing purposes. Alternatively, images uploaded directly through the instrument page will also be saved here, maintaining the same folder hierarchy.

6) Station Groups Images:

Contains subfolders named by different station groups in the project, with additional subfolders for individual station group names, if applicable (e.g., "Angular Distortion Group (ADPG)").

Images can be uploaded to the specific station group-type and station group-name subfolders. This allows the images to be associated with their respective station groups for reporting and informational viewing purposes. Alternatively, images uploaded directly through the station group page will also be saved here, maintaining the same folder hierarchy.

7) PTT Sketch Images:

Contains subfolders for storing sketch images related to different PTT IDs and their packages, named accordingly (e.g., “J179 20240722 – C2 PTT Sketch M110 H2”).

Upload the PTT Sketch images to this folder, to get it available and selectable when selecting the PTT sketch image in the PTT Sketch Page.

2.2 Folder Actions (Rename / Upload / Delete / Refresh)

Click on the three dots next to each folder, to take actions on uploading files to this folder / rename the folder / delete the folder / refresh the folder after uploading a file.


3. Main Panel - Viewing Images List

The main panel displays the contents (images file list) of the selected directory, including:

  • File Name: Name of the file or subfolder.

  • Date Modified: The last modification date.

  • File Size: The size of the file (if applicable).

  • Thumbnails View button: Click to switch the list view and thumbnail view.

  • Refresh button: Click to refresh the list, especially after uploading a file.


4. Search Bar – Steps for Image Searching

The search bar at the top allows users to quickly locate files or directories.

  1. Enter the name fully or partially of the file or directory in the search bar.

  2. Press "Enter" on the keyboard or click the search icon.

  3. Results will be displayed in the main panel. The fields contain the following information:

    • Name: display the full name of the attachment

    • Folder: display the folder path of this attachment

    • File Size: show the size of the file

    • FiledId : show the ID of this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser '' to the search result table.

    • Uploaded On: show the date and time when the person uploaded this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser to the search result table.

    • Uploaded By: show the email address of the person who uploaded this attachment. This is hidden by-default and can be displayed by dragging the column from the Column Chooser to the search result table.

  4. Clicking on Cancel button to return to the hierarchy folder structure.


5. General Steps to Upload Images

  1. Expand / collapse main folders using the arrow next to each directory. Click on the folder / subfolder you wish to upload new files.

  2. Click the "Upload Files" button. Select files from your device. Click "Open" to upload the files.

  3. Check if the file has been uploaded to the main panel under the correct folder, by refreshing the page.

NOTE: To confirm the correct folder for uploading the image: Refer to Chapter 2 of this manual:

  • The specific folders designated for different types of images.

  • The corresponding types of images to be uploaded.

  • The intended purposes for each image category.


6. Steps to Download / Rename / Delete an existing Image

To download / modify (rename / delete) an existing image:

  1. Click to select an existing image from a certain folder

  2. Click on the three dots / or right click to expand the action panel; alternatively, the action buttons will be available on the top of the page:

    • Download: click to download the image file to your local device

    • Rename: rename the existing file

    • Delete: click to delete the image file permanently

    • Refresh: click to refresh the file after taking actions such as changing name.


7. Steps to Upload Thumbnail Image

This section introduces steps to upload thumbnail images and make them available and selectable in project info page.

  1. Expand / collapse main folders using the arrow next to each directory. Click on the Thumbnail Images.

  2. Click the "Upload Files" button. Select files from your device. Click "Open" to upload the files.

  3. Check if the file has been uploaded to the main panel under the correct folder, by refreshing the page.

  4. The image will now be available in the Thumbnail list in the Project Info Page.


8. Steps to Upload Main Image

This section introduces steps to upload main images and make them available and selectable in project info page.

  1. Expand / collapse main folders using the arrow next to each directory. Click on the Images.

  2. Click the "Upload Files" button. Select files from your device. Click "Open" to upload the files.

  3. Check if the file has been uploaded to the main panel under the correct folder, by refreshing the page.

  4. The image will now be available in the Main Image list in the Project Info Page.


9. Best Practices & Tips

  1. Use Consistent and Clear Naming Conventions

    • Include instrument ID and a short description in the filename (e.g., ABC123_BeforeMaintenance_20250316.jpg).

  2. Version control: If you update an instrument image (e.g., new photos after maintenance), either rename the new file or keep a date-based naming pattern for clarity.

  3. Backup and Export

    • For critical images, regularly export or back them up according to your organization’s data retention policies.


10. Troubleshooting

  1. Can't Upload or Edit Images:

    • Contact your administrator to ensure you have the proper access level.

  2. Images Not Displaying After Upload

    • Refresh the page or click 'clean up cache' by clicking on your account icon at the top right corner.

    • Confirm the images were uploaded to the correct folder.

  3. Cannot Link Images to an Instrument

    • Check if the instrument record allows image attachments.

    • Verify that the image is stored in an accessible folder.

    • Ensure you have the correct user role or permission.

  4. File Upload Errors

    • Check the file size limit or supported formats (JPEG, PNG, etc.).

    • Try compressing large images or using an alternative format.
