Status Notification Settings

Set up notifications to recipients on schedules when outstanding items have been found

1. Introduction

The status notification setting page configures alerts to notify recipients of outstanding items. Notification can be sent out once outstanding items have been captured.


2. Page Navigation

1. Sign in to GeoSens.

2. In the left‐hand menu expand Monitoring Status → click Status Notification Settings.


3. How to Create a New Notification Job

1. Click on ‘+New’ at the top right corner function bar. A side-panel will appear.

2. Fill in the notification information fields as instructed:

Field Name

Description

Job Name

The name of this notification job.

Monitoring Status Job Setting

The name of the monitoring status job setting.

Click to open the drop-down list and select a monitoring status job setting. → This monitoring status job has been pre-configured in the Monitoring Status Job Settings Page.

Distribution List

A list of recipients who will receive notifications about the job status. → This list of recipients needs to be configured in Messaging – Distribution Lists Page.

Notification Type

The method or format through which notifications are sent (e.g., email / SMS / Both).

3. Fill in the Email / SMS Contents Fields:

Field Name

Description

Email Subject

Subject line of the email.

Email Remark

Body text of the email.

SMS Title

Title or headline of the SMS.

SMS Content

Main text of the SMS message.

Job Description

Details about this notification job responsibilities and requirements if necessary.

4. Fill in the fields for outstanding items notification filtering system:

Field Name

Description

To include un-noticed outstanding items

Tick to include all un-noticed outstanding items into next round notification. Un-noticed outstanding items means all previous outstanding items in the history that hasn’t been sent out to recipients yet.

To include Outstanding Items that: Captured in Last ___ Hours

Filters outstanding items based on how many hours ago they were captured.

Example: Captured in Last 8 Hours → only the outstanding items captured within the last 8 hours from the scheduled notification time will be included in the notification.

To include Outstanding Items that: Captured in Last ___ Runs

Filters items based on how many runs ago they were captured.

Example: Captured in Last 2 Runs → only the outstanding items captured within the last 2 runs for the specified monitoring status job setting package will be included in the notification.

To attach outstanding items in the .csv/.xlsx file

Tick to attach the outstanding items in .csv/.xlsx format.

Disabled

Tick to place the notification job in inactive status.

5. Fill in the fields to set up the notification job execution time, by configuring minutes, hours, day, month tab.

Example: The below settings indicate that the notification job will conduct to send notification to recipients every month, every day at 14:00pm.

6. Click on ‘Create’ to create the notification job setting.


4. Notification Job Setting Data Grid Fields

This section introduces the columns in notification job setting data grid.

Column Name

Introduction

Id

Unique identifier for the notification job.

MF Notification Job Name

Name assigned to the notification job.

MF Set

Identifies the monitoring status job applied. The available monitoring status job is configured on Monitoring Status Job Settings Page.

Notice Type

Specifies the type of notification (e.g., email, SMS).

Distribution List

List of recipients who receive notifications. The available recipients lists are configured on Messaging – Distribution List Page.

Un Noticed Item

Tick means to include outstanding Items that have not been included in previous notifications.

Enabled

Tick means the notification job is in active status.

Schedule

Defines when the notification job will run.

Last Execution Time

The most recent time the notification job was executed.

Updated By

Email address of the person who last modified the notification settings.

Additional columns can be dragged and dropped from the column chooser ‘’ into the data table to customize the view and add more information.

Notice Last Hours

= ‘To include outstanding items captured in last __ hours’. Filters outstanding items based on how many hours ago they were captured.

Example: Captured in Last 8 Hours → only the outstanding items captured within the last 8 hours from the scheduled notification time will be included in the notification.

Notice Last Runs

= ‘To include outstanding items captured in last __ runs’. Filters items based on how many runs ago they were captured.

Example: Captured in Last 2 Runs → only the outstanding items captured within the last 2 runs for the specified monitoring status job setting package will be included in the notification.

Email Subject

Subject line used for the email notification.

Email Body Content

The main message text of the email notification.

SMS Title

The headline or introductory text for SMS notifications.

SMS Content

Main text of the SMS notification.

Job Description

Detailed explanation of tasks or actions involved in the job.

Created By

Email address of the person who initiated the creation of the notification job.

Created On

Date when the notification job was initially configured.


5. Notification Job Setting Data Grid Functions

This section provides introductions on top right corner function bar.

Function Name

Explanation

Edit Grid

Enables users to enter edit mode and make changes directly within an inline data grid.

New

Creates a new notification job.

Edit

Tick to select an existing notification job row, click on ‘Edit’ to make any changes to the existing setting panel.

Delete

Tick to select an existing notification job row, click on ‘Delete’ to remove the selected record from the grid permanently.


6. Other Common Workflows

A. Column Chooser - Viewing more information

  • Use the Column Chooser tool ‘‘ to select which data columns to display for a detailed view of your notification job settings.

  • Drag and drop columns into the data grid, allowing you to concentrate on the information most relevant to your notification job settings.

B. Filtering function – filtering for specific notification job setting

  • Click on the filtering icon ’‘, input key words to refine your notification records, and select one or more items from the list to apply the filter effectively.

C. Sorting function – sorting for specific notification job setting

  • Click on the column headers directly to sort your notification data.

  • Toggle between ascending and descending order to improve the efficiency of managing your notification job settings.

D. Editing an existing notification setting

  • Click on ‘Edit Grid’ or select an existing job row and choose ‘Edit’ from the top right corner function bar to open the settings panel at the bottom, allowing you to modify specific details of a notification job setting.

E. Deleting an existing status notification job

  • Select an existing notification job row and click on ‘Delete’ from the top right corner function bar to remove outdated or unnecessary monitor frequencies, ensuring your setup remains current and streamlined.
