Step 1: Create the Task (Name First)
Navigate to the target date.
Click the dashed row at the bottom of the task list.
Enter a Task Name (up to 100 characters), such as:
Morning Support
Community Access
Press Enter.
Once you press Enter, the task is immediately saved to the database and becomes an active task.
Step 2: Assign a Participant
Every task must be linked to a participant for accurate tracking, reporting, and billing.
Click the Person (User) Icon on the left side of the task row.
Use the search field to find a participant by name.
Select the participant.
What happens next:
The task is instantly updated.
The participant’s initials or avatar will appear in the task row.
Important:
You can’t assign a participant until the task has a name. If the task hasn’t been named yet, the system will prompt you to do that first.
Step 3: Set the Charge
Click Set Charge.
Select the appropriate Price Book.
The system automatically applies the latest rates from the selected price book, so there’s no need to manually verify pricing.
Why the Name-First Workflow?
A task name is required to initialise the task record. Once named and saved:
The placeholder row becomes an active task
Participants can be assigned
Billing and charge details can be applied
This approach ensures clean data, accurate billing, and reliable reporting.
