Understanding Billable Entries

Billable entries are the individual line items that make up an invoice. Each entry represents a service delivered to a client that can be charged.

What Creates Billable Entries

Billable entries are generated from:

  • Completed shifts: When a shift is marked as complete with billable tasks

  • Billable tasks: Tasks marked as billable and completed on the Tasks page. Use "Sync Billable" on the Tasks page to generate billable entries for the current week

  • Travel with client: When travel claims are approved and marked as billable to the client

  • Manual entries: Created directly in a client's Billable Entries tab

Entry Details

Each billable entry includes:

  • Billable Status: the status of the billable entry (Draft, Pending, Unpaid, Paid, and Authorized)

  • Billable Type: The Service type or task.

  • For Client: Who the Service was provided to.

  • Employee Attached: Who delivered the service.

  • Billable Date: When the service occurred.

  • Quantity: Number of hours of service.

  • Rate: Hourly and unit rate.

  • Total Amount: Total charge (hours X Rate)

Managing Entries

You can view, edit, and delete billable entries from a client's profile under the Billable Entries tab. This allows you to correct errors or add missing charges before including them in a bulk invoice run.
