Compliance Tab

The Staff Compliance tab allows you to track and manage compliance documents for individual staff members. You can define which documents are required, assign document uploads to employees, and approve or decline submitted documents.

Accessing Staff Compliance

  1. Navigate to Staff from the main menu

  2. Click on a staff member's name to open their profile

  3. Select the Compliance tab

Understanding the Compliance View

The compliance tab is divided into two main sections:

Compliance Checklist (Left Panel)

This panel shows the status of all assigned documents for the staff member:

  • Status Counter – Shows how many documents have been approved out of the total (e.g., "3/5")

  • Document List – Each document type with its current status

  • Notify User Button – Send a notification to remind the staff member to upload missing documents

Document was rejected and needs to be re-uploaded

⏱ (Yellow)

Pending

Document uploaded and awaiting review

Compliance Matrix (Right Panel)

This panel allows you to configure which documents are required for this staff member:

Description

Document Name

The type of compliance document

Required

Check this box if the document is mandatory for compliance

Assign to Employee

Check this box if the employee should upload this document themselves

Managing Compliance Requirements

Setting Document Requirements

  1. In the right panel, tick the Required checkbox for any documents that must be completed

  2. Tick Assign to Employee if you want the staff member to upload the document via their portal

  3. Click Save to apply your changes

Reviewing Submitted Documents

When a staff member uploads a document, it appears in the Compliance Checklist with a "Pending" status.

Viewing a Document

Click the View link next to any document to open and review it.

Approving a Document

  1. Review the document by clicking View

  2. Click Approve next to the document

  3. Confirm the approval in the modal that appears

  4. The document status will change to "Approved"

Declining a Document

  1. Review the document by clicking View

  2. Click Decline next to the document

  3. Provide a reason for the decline (so the staff member knows what to fix)

  4. The document status will change to "Declined"

Notifying Staff Members

If a staff member has outstanding compliance documents to upload:

  1. Click the Notify User button at the bottom of the Compliance Checklist

  2. The staff member will receive a notification reminding them to upload the required documents

Compliance Status

The overall compliance status is shown in the Compliance Checklist header:

Badge

Meaning

Pending (Blue)

One or more required documents are not yet approved

Completed (Green)

All required documents have been approved
