Documents Tab

The Staff Documents tab allows you to upload, view, and manage documents for individual staff members. This includes contracts, certificates, identification documents, and other files related to the staff member.

Accessing Staff Documents

  1. Navigate to Staff from the main menu

  2. Click on a staff member's name to open their profile

  3. Select the Documents tab

Viewing Documents

Documents are displayed in a table with the following columns:

Column

Description

File Name

The name of the document (click to view)

Type

The category/type of document

Uploaded

When the document was uploaded

Expiry

The document's expiration date (if applicable)

Status

Current approval status

Actions

Available actions for the document

Click on a document's file name to open and view it in a new tab.

Document Statuses

Status

Meaning

Approved

Document has been reviewed and approved

Pending

Document is awaiting review

Declined

Document was rejected and may need to be re-uploaded

N/A

No status set

Adding a Document

  1. Click the Add Document button in the top right corner

  2. Select the Document Type from the dropdown

  3. Upload the file

  4. Enter the Valid From date (if applicable)

  5. Enter the Valid To / Expiry date (if applicable)

  6. Click Save to upload the document

Managing Documents

Click the โ‹ฏ (three dots) in the Actions column to access document options:

Download

Download a copy of the document to your computer.

Edit

Modify the document details such as type, validity dates, or replace the file.

Approve (Pending documents only)

Approve a document that has been uploaded and is awaiting review.

Decline (Pending documents only)

Reject a document that doesn't meet requirements. The staff member will need to upload a new version.

Delete

Permanently remove the document from the system.
