QuickBooks Integration

We’re pleased to release QuickBooks Integration, giving Imploy users a direct connection between Imploy’s billing and invoicing system and QuickBooks Online accounting software. This integration lets you push invoices from Imploy straight into QuickBooks and keep invoice statuses in sync between the two platforms.

QuickBooks is one of the most widely used accounting tools for small businesses, and this integration removes much of the manual work associated with maintaining records in two systems. It reduces double entry, keeps your financial data aligned, and helps your accounts team work more efficiently while still using tools they already rely on.

What it does

Once QuickBooks is connected, generated invoices from Imploy can be sent directly to your QuickBooks account. You can then sync payment and approval statuses back into Imploy so both systems reflect the latest information. This means when a customer pays an invoice in QuickBooks, Imploy will update the invoice status accordingly.

After setup, you can use the Sync button on the Invoicing page to pull the latest invoice status updates from QuickBooks. This includes changes such as:

  • Payment status updates when invoices are paid

  • Approval status updates when drafts are approved

  • Applicable invoices created directly in QuickBooks (where supported)

Important Notes and Limitations

QuickBooks Integration is currently in BETA, so if you encounter issues with connecting or syncing, please contact support.

There are a few known limitations to be aware of:

  • GST display in Imploy PDF previews will not show correctly when QuickBooks is connected due to QuickBooks PDF limitations. If GST was applied, the correct GST will still be included in QuickBooks, and you can confirm by viewing the invoice within QuickBooks itself.

  • Custom transaction numbers enabled in QuickBooks can prevent invoice PDFs from displaying correctly in Imploy. This is a QuickBooks limitation. If you rely on custom numbering, you may need to view or download the invoice PDF directly from QuickBooks.
