Creating and Assigning Shift Note Templates

Create standardised shift note templates in settings and assign them directly to specific client profiles.

Part 1: How to Create Note Templates

Before linking a template to a participant, administrators need to build out the reusable fields inside the system configuration workspace:

  1. Navigate to Settings using the bottom of the main left-hand sidebar.

  2. Under the Configuration subsection in the settings menu, click on Note Templates.

  3. As shown,

    use the Fields and Templates tabs to construct your forms:

    • Click the black +Field button to create distinct data collection fields.

    • Define the field Type (such as Long Text, Dropdown, or Number), add custom Placeholder prompt text, and toggle whether the input is Required.

    • Use the Templates tab to bundle these custom lines into a cohesive shift document layout.

Part 2: How to Assign a Template to a Client Profile

Once your organisation's shift templates are built, you can lock them to specific participants so the Shift Note Template automatically surface when care workers try to submit appointment notes:

  1. Navigate to the Clients in the main left-hand sidebar and select a participant's profile.

  2. Look at the right-hand utility panel and make sure the Details tab is selected.

  3. Scroll down the panel past the medical parameters until you reach the Team and Preferences header block.

  4. As displayed,

    locate the Shift Notes Template field at the bottom of the preference checklist.

  5. Click directly on the value text (which defaults to No template selected) and pick your desired template from the dropdown selection list.
