Two settings shape how Creative Rendering behaves for everyone on your team. Both are admin-only, and both apply to the whole team rather than to one person.
Rendering access decides whether members can change a rendering or only look at it. Tabs decides which sections appear on a rendering report, and in what order. This guide covers both.
Rendering access: view only, or view and edit
Rendering access used to be all or nothing: Either everyone with the ‘user’ role had full access, or rendering was restricted to administrators. There is now a middle level, so your team can see renders, previews and QA results without being able to change them.
You’ll find it in Settings > Access, on the Rendering row of User Permissions. The switch turns rendering on or off for members; when it is on, the control beside it chooses the level.
The Rendering row, with View only and View and edit beside the switch.
Setting | What members with the ‘user’ role can do |
Off | Nothing. Rendering is restricted to administrators, exactly as before. |
View only | Open and view existing renders, previews and QA results. Nothing they do is saved. |
View and edit | Everything in View only, plus re-run, rename, delete, and manage QA rules. |
Administrators are unaffected by this setting. It governs the ‘user’ role only.
What View only changes
The rule is simple: anything that writes to your account is blocked, and anything that only changes what that person is looking at is not.
So every editor on every rendering page is read-only, and the Save button is not shown. But filtering, sorting, zooming, and switching between clients and device previews all work exactly as they do for anyone else—those only change that person’s own view.
ℹ NOBODY LOSES ACCESS ON RELEASE Every account that has rendering switched on today is already set to View and edit, so nothing changes for your team unless an admin chooses to change it. |
Choosing your rendering tabs
A rendering report carries a row of tabs across the top: Proofing, Previews, Links, Custom QA, Images and the rest. Not every team uses every one of them, and the ones a team lives in are rarely the ones that happen to come first.
Click the Settings gear icon in the top navigation bar and choose Creative Rendering.
Custom QA, device settings and tabs all live under Creative Rendering.
Then select Tabs at the foot of the left-hand menu.
Every tab, with a short description of what it does, a switch, and a drag handle on the left.
Switching a tab on or off
Use the switch at the right of a row. Each row also includes a one-line description of what that tab does, which helps when you decide whether your team needs it. Those descriptions are ours and can't be edited.
Changing the order
Drag a row by the handle on its left. The order you leave the list in is the order the tabs appear in on every rendering report, left to right.
Put the tab your team opens first at the top. For most teams, that is Proofing or Previews; for a team whose job is link and content checking, it might be Links or Custom QA.
What your team sees
Situation | What happens |
Someone opens a link to a tab you have switched off | They land on the first tab that is switched on, rather than an error. |
You share a rendering report outside your team | The shared link shows the same tabs you have configured. Recipients do not see tabs you have hidden. |
A member looks for the Tabs settings | They will not find the section. Only admins see it. |
A View-only member opens a rendering | Everything is there to read. The editors are read-only, and the Save button is absent. |
✦ TIP — THE TWO SETTINGS ANSWER DIFFERENT QUESTIONS Tabs decide what is on the page for everyone. Rendering access decides what a member can do once they are there. Hiding a tab does not restrict anyone’s permissions, and setting View only does not remove anything from the report. |
Frequently asked questions
Can each person choose their own tabs?
No. The arrangement belongs to the team, so everyone sees the same tabs. This is deliberate—it means a link to a report looks the same for whoever opens it.
Why can’t I see the Tabs section?
You are not a team admin. Ask an admin on your team to make the change, or to grant you admin access.
We had our own tab choices before. Where did they go?
Tab choices used to be saved per person, per browser. They were not carried over when the setting moved to the team, so your team starts from the defaults until an admin changes them.
Does View-only stop someone using Quick Fix?
They can see the proposed fixes, but nothing they apply can be saved, because the Save button is not available to them.
Does hiding a tab speed up a rendering?
No. Hiding a tab changes what the report shows, not what is run behind it.
I changed a setting, and my colleague still sees the old one.
Ask them to reload the report. Both the tab bar and the access level are applied when the page loads.
